Once you've created an offline match or challenge, most of the progress is made automatically. However, there are times you may need to make a change or adjustment.
When gift edits don't update match/challenge progress
Editing a processed gift—such as adding an affiliation or changing a designation—won’t automatically update the associated match or challenge progress. In other words, if you change gift details after processing, the match or challenge totals remain based on the original data, and you must manually adjust them.
Manual adjustment required: If an edited gift should now count toward a match or challenge, update its totals accordingly.
Example: A donor gives without selecting a Faculty/Staff affiliation. Later, you add the affiliation, but the Faculty/Staff-directed challenge still doesn’t register the gift. In this case, manually update the challenge progress.
How to manually adjust progress
When a gift should count toward a match or challenge after being edited:
- For matches: Update the Value field to reflect the total amount that should be matched.
- For challenges: Update the Nummatches field to reflect the count of qualifying gifts or dollars.
- Save your changes.
Tip: Use manual adjustments whenever gift edits affect match or challenge eligibility.
When post‑gift edits don’t update progress
Once a gift is processed, modifying its details—such as adding an affiliation or changing the designation—won’t qualify it for a directed or restricted match/challenge.
- Example: Adding a Faculty/Staff affiliation to a past gift does not update a Faculty/Staff challenge because the gift didn’t meet the criteria at capture.
- Resolution: Manually adjust progress on the corresponding match or challenge by updating Nummatches (and Value for matches) to include the edited gift.
- Open Campaign Settings > Manage Donations, locate the online gift, and open its details page.
- Use the Move to different campaign dropdown to relocate the gift. Moving the gift removes it from the campaign and updates donor counts for both campaigns.
- Allow a few minutes for totals and donor counts to refresh.
- Open Campaign Settings > Sharing & Motivation > Matches & Challenges and click the pencil icon next to the offline match.
- In the Match/Challenge Information area, set the Value field to 0 and adjust the Nummatches field to reflect the count before the online gift was included. This resets the match so it will only complete when qualifying gifts are present.
- Click Update Donation to save the changes.
- A $3,000 offline match was added for a donor, and later the donor made a $3,000 online gift. The campaign shows $6,000 and the match appears complete. To correct this:
- Move the online gift off the campaign.
- Edit the offline match: set Value to 0 and reduce Nummatches to reopen the match. The campaign totals will then reflect the single $3,000 contribution.
When a match donor also gives online (double‑counting)
If a donor makes an offline match commitment and an online gift, the system may count them as two separate contributions. This can falsely indicate that the match is fulfilled even though the donor gave only once.
Follow these two steps to correct the counts:
Step 1 — Move the online gift off the campaign
Note: Gifts can only be moved within the same type (for example, between different Giving Forms or Social Fundraising campaigns). If the destination you need isn’t available, the gift type may not support a direct move.
Step 2 — Reset the offline match
Example:
After completing these steps, verify that the campaign totals and match progress are accurate. Note that changes may take a few minutes to propagate.
Including edited gifts via manual adjustment

Matches & Challenges
. - Click the pencil icon next to the match or challenge you need to revise.
- In the Match/Challenge Information section, update the fields:
- For challenges: Set Nummatches to the revised count; keep Value at 0 until the challenge completes.
- For matches: Update Value to the total matched amount. Optionally, adjust Nummatches for recordkeeping.
- Click Update Donation to save your changes.
Tip: Use this procedure whenever you change gift details that impact eligibility.
Editing Offline Matches and Challenges

- Click on the Pencil icon next to the Match or Challenge you wish to edit

- Search for the offline match/challenge that you’d like to edit (by donor name, email or using the word "phantom")
- Click on its donation ID
Below are the types of things you can edit. Once you’ve made your adjustments, be sure to hit the Update Donation button at the bottom of the page!
Match/Challenge Progress
Scroll down to the Match/Challenge Information
For Matches:
- Adjust the Value field to the total amount that has been matched so far
- Example: A $10 per donor match where 9 donors have given will have $90 in Value
- Example; A $1,000 dollar-for-dollar match that has raised $542 so far will have 542 in Value
- You can adjust the Nummatches field to reflect the number of gifts matched, but it will not affect the progress of the match
For Challenges:
- Adjust the Nummatches field to the number of donors or dollars that should count for the challenge so far
- Example: A $500 challenge to find 25 more donors would have 6 in Nummatches after 6 donors meet the criteria
- Example: A $1,000 challenge to raise $500 for Baseball would show 324 in Nummatches after the first $324 given to Baseball
- The Value field should remain 0 until the challenge is met, at which point it will automatically be completed, assigned the total value of the challenge, and added to the campaign total

Navigate to Motivation & Sharing > Matches & Challenges.
- Search for the challenge using the donor’s name.
- Click the pencil icon to edit the details.
- In the Match/Challenge Information section, reduce the Nummatches field and set the Value to 0
- Example: If 22 donors triggered a "20 donor" challenge, change the Nummatches from 22 to 19 and the value to 0. The challenge will reopen and show as needing 1 more donor.
- Follow the same navigation steps above.
- Adjust the Nummatches field to reflect the dollar amount that should count toward the challenge and set the Value to 0.
- Example: For a "$500 raised" challenge, set Nummatches to the appropriate current qualifying amount (for instance, 450) and the value to 0 so the challenge will reopen.
- Once reopened, the challenge value resets to $0 until the criteria are met again.
- The challenge will automatically complete when the adjusted criteria are reached.
- Changes may take a few minutes to reflect on the campaign page.
Reopening Completed Challenges
When Challenges Complete Unintentionally
If a challenge completes unintentionally—for example, if a gift is removed or the challenge criteria were set incorrectly—you can manually reopen it by adjusting the challenge progress.
For “Per Donor” challenges:

Directing offline matches/challenges restrict them so that they can only be triggered by certain gifts.
- Check the Directed box
- Select the designation, designation group, affiliation, or year you'd like to limit this to
- If selecting multiple years or designations, click Add One and select

To change between Dollar-based or Donor-based, adjust the selection in Match/Challenge Type.
Start & end date
By default matches start then they are created and end on the campaign end date/time. To change that, edit the respective fields. If a campaign is extended, by default matches and challenges with that end date are extended, as well. You can undo that here.

At the top of the page, you also can change various donor details of the offline match/challenge gift, including payer name, email, anonymity, and joint donor information.

Can I make these same edits to online matches & challenges?
No. You can edit most elements of an online match/challenge but the the progress and directed/restricted criteria can only be edited by support@givecampus.com.

Only set the NumMatch field for challenges
Required Updates:
1. NumMatches field: Enter the number of donors or dollars who have qualified
2. Value field: Stays at zero until the challenge is complete.
Example:
- Challenge: "$500 if 50 people donate to the campaign"
- 5 new qualifying donors need to be added
- NumMatches: add "5" to the current count
- Value: leave at 0
When the challenge is complete the value field will automatically update to 500

Accounting for Existing Gifts in New Matches and Challenges
When You Want Gifts Already Made to Count
If you create a match or challenge after gifts have already been made and want those gifts to count toward the new match/challenge:
You cannot backdate to automatically include gifts. However, you can manually adjust the progress:
For Matches:
- Calculate the total amount that should be matched from existing gifts
- Update the Value field to reflect this amount
- Optionally update Nummatches to reflect the number of qualifying gifts
For Challenges:
- Count the existing donors or dollars that meet your challenge criteria
- Update the Nummatches field to reflect this count
- Keep Value at 0 until the challenge completes
Example: If you create a "$100 per donor to Athletics" match and 15 people already gave to Athletics, set the Value field to $1,500.
Important: Only gifts that meet your match/challenge criteria (designation, affiliation, etc.) should be counted in these adjustments.
When gifts count toward progress
Progress is calculated using the details captured at checkout:
- Eligibility is set at the time of the gift. Only gifts that qualify at checkout count for matches and challenges.
- Later edits to affiliations won’t update progress. For example, adding a "Parent" affiliation after the gift is made will not retroactively trigger a parent-directed match or challenge.
- Gifts made before a match or challenge goes live don’t count. Only gifts processed after the start time qualify.
- Match-on-match contributions are excluded. Dollars added by another match or a completed challenge aren’t treated as new gifts.
Common scenarios and resolutions

"Nummatches updated but public progress didn’t move."
For matches, the progress bar reflects the Value (total matched dollars). To update progress, adjust the Value field. -
"Parent affiliations were added after gifts came in, and the challenge didn’t update."
Since retroactive affiliation edits don’t trigger challenges, manually update the challenge’s Nummatches to reconcile the qualifying count. -
"The incentive isn’t fully unlocked despite having many qualifying gifts."
Verify that all gifts met the required timing and checkout criteria. If necessary, adjust Value (for matches) or Nummatches (for challenges) to reflect accurate progress.

Deleting offline matches and challenges
If you need to remove an offline match or challenge from your campaign page, follow these steps:
- Go to Campaign Settings > Manage Donations.
- Search for the term "phantom" to list offline matches and challenges.
- Select the donation by clicking its donation ID.
- Click the Cancel button to remove the offline match or challenge.
After deletion
- The match or challenge state changes from "phantom" to "canceled".
- It will no longer appear on the campaign page.
User‑generated (online) matches vs. offline matches: what you can and can’t edit
Not all matches are editable in the admin interface. Here’s the key difference:
- User‑generated matches (created online by donors) cannot be edited directly by administrators.
- Offline matches are the only matches you can edit through the admin interface (see the steps below in this article).
How to correct a donor‑created match
To fix a user‑generated match, contact support@givecampus.com with the donor’s name and the exact changes you need. A common example: a donor selects “$1 per donor” when they actually mean a dollar‑for‑dollar match—include that requested change in your message.
If the match was created as an offline match, you can make the change yourself using the editing tools described below.
