Managing Mistakes in Offline Gifts & Adjustments

Don't panic! Whether the mistake was big or small, we'll get you sorted. You're almost certainly not the first person to do it!

Common Mistakes and Solutions

I added too much in our campaign adjustment

Not a problem. Just add a negative number in the adjustment field this time.

Formatting negative adjustments

To subtract dollars from your campaign totals, enter a negative value in the Adjust overall donor/dollar count Dollar Amount field within Offline Gifts. Follow these steps:

1. Navigate to Campaign Settings > Manage Donations > Offline Gifts > Adjust overall donor/dollar count.
2. In the Dollar Amount field, type the negative number using only the minus sign and digits (no dollar sign or commas).
3. Click Save and wait a few minutes for totals to update.

Quick guidelines:

• Type -100000 to subtract $100,000.
• Use only the minus sign and digits; avoid dollar signs and commas.
• If you need to undo an adjustment, enter the opposite number (for example, enter 100000 to add back $100,000).

Examples:

• To subtract one hundred thousand dollars, type: -100000
• To subtract fifty dollars, type: -50

Common tips:

• Although dollar signs and commas are automatically removed during processing, entering only digits and the minus sign minimizes formatting issues.
• Avoid copying formatted currency from spreadsheets, as hidden characters can cause errors.

I accidentally added too much to a designation

If you added too much to a designation amount by mistake, you can subtract from it:

Go to the Adjust Designation Data section

Find the designation you over-adjusted

Enter a negative amount to reduce it

Save your changes

Wrong Affiliation on Offline Gift

If you added an offline gift but it's showing up under the wrong affiliation or project:

Go to Campaign Settings > Manage Donations > Offline Gifts

Find the offline gift in your list

Use the Edit button next to the donor's entry

Correct the affiliation, designation, or other details

Save your changes

Wait a few minutes for totals to update

Offline Gift Affecting Wrong Project Totals

If adding an offline gift incorrectly drove up other project totals:

First, identify what went wrong - check which designation or affiliation was selected

Edit the specific offline gift using the steps above

Or use negative adjustments to correct the overall totals

For future gifts, double-check designation and affiliation settings before saving

I added the wrong donor information

You can edit offline donor details:

Go to Campaign Settings > Manage Donations > Offline Gifts

Find the donor in your offline gifts list

Click Edit next to their entry

Update name, affiliation, designation, or amount

Save changes

I need to delete an offline gift entirely

Go to Campaign Settings > Manage Donations > Offline Gifts

Find the gift you want to remove

Click the Delete button next to the donor's entry

Confirm the deletion

Adjustments Not Showing Up Correctly

If you're looking for specific adjustments in your reports:

Campaign adjustments appear under Manage Donations > Offline Gifts > Adjust overall donor/dollar count

Designation adjustments appear in the Adjust Designation Data section

These show up as "Adjustment" donation types in your All Gifts report

Use the Gift ID to locate specific adjustments in your reporting

Manual Campaign Adjustments for Fund Totals

Adjusting Fund Amounts Down or Up

If you need to manually adjust a specific fund's total (either increase or decrease the amount), you can make these adjustments through the Offline Gifts section.

To adjust a fund's dollar total:

1. Go to Campaign Settings > Manage Donations > Offline Gifts
2. Locate the "Adjust Designation Data" section
3. Find the specific designation/fund you need to adjust
4. Enter the adjustment amount:
   • Positive number to add to the fund total
   • Negative number to subtract from the fund total
5. Save your changes

To adjust a fund's donor count:

1. In the same "Adjust Designation Data" section
2. Find the donor count field for your designation
3. Enter a positive or negative number to adjust the count
4. Save your changes

When Refunds Affect Match Progress

When you refund a gift that counted toward an active match or challenge, the match dollars are automatically returned if the match or challenge is still live.

Converting User-Generated Gifts to Challenges

If a donor makes a regular gift but intended to create a challenge:

Move the gift and create an offline challenge

1. Go to Online Giving>Manage Gifts, click the donation ID of the gift and use the "Move to different campaign" tool. (You can move it to any campaign-  active, completed, or draft)
2. Set up an offline challenge with the same donor information
3. This prevents double-counting while creating the intended challenge

How to Find Your Adjustments

Locating Offline Adjustments

Offline adjustments can be found:

• Under Campaign Settings > Manage Donations > Offline Gifts
• Look in the "Adjust overall donor/dollar count" section
• They appear with specific Gift IDs that you can reference in reports

Understanding Adjustment Types in Reports

In your campaign reports, adjustments appear as:

• Donation Type: "Adjustment"
• Gift ID: Unique identifier for tracking
• Amount Applied to Campaign: Shows impact on totals

Prevention Tips

Before Adding Offline Gifts

Double-check designation - ensure you're selecting the right fund

Verify affiliation - confirm class year or donor type

Review amount - make sure the dollar amount is correct

Preview impact - consider how this will affect leaderboards and totals
