Not every commitment ends with a card number. Sometimes a donor tells you “Count me in for $5,000 over the next three years” and you want that promise on the books before you hang up or walk out of the meeting. The Record a Pledge button lets you capture that pledge right from GC GO, on your school’s pledge form, with the donor’s details already filled in and without collecting any payment information.
This guide covers what Record a Pledge does, how admins set it up, and how gift officers use it day to day.
What Record a Pledge does for you
- Record the commitment in the moment. When a donor says yes, you can log the pledge right away. No need to send a link and hope they fill it out.
- Start from the constituent. Open the pledge form from the constituent side panel or constituent page, and the donor’s name, email, and zip code carry over from their record.
- No payment information needed. Record a Pledge only works with pledge forms that don’t ask for payment details, so you’re recording a promise, not charging a card.
Heads up: Record a Pledge is for payment-free pledges. If the donor wants to give by card right now, use Record a Gift with a GC MOTO device instead. See the MOTO in GC GO guide.
Where you’ll find the button
Once your admin has set things up, Record a Pledge (look for the clipboard-with-checkmark icon) shows up in three places:
- Your GC GO Home page, next to Record a Gift if your school uses it.
- The constituent side panel, where it opens the pledge form in a new tab with the constituent’s details filled in.
For admins: setting up Record a Pledge
1. Create an eligible pledge form
Only certain pledge forms can be linked. To be eligible, a pledge form must be:
- Active (online)
- Set up so it does not ask for payment information
- Set up so it does not allow future scheduled payments
If none of your pledge forms meet all three, the settings page shows the message: “No pledge forms are currently eligible for selection.” Update or create a pledge form in Giving Forms, then come back.
2. Link a pledge form to each team
- Go to School Settings → GC Connections.
- Scroll to the Record a Pledge section. You’ll see a table with one row per team.
- For each team that should see the button, check Enable ‘Record a Pledge’ Button.
- Choose a form from the Select a pledge form dropdown.
- Click Save Settings.
If a linked form stops being eligible
If a linked pledge form goes offline or is changed to collect payment information, the button disappears for that team automatically. Your setting isn’t lost. The team’s row will say the linked form “is no longer eligible”. Make the form eligible again and the button comes back on its own, or pick a different form and save.
For students: recording a pledge
- Open the task for the constituent who’s making the pledge
- Click Record a Pledge button on the side panel
- The pledge form opens with the donor’s name, email, and zip code already filled in
- Fill in the pledge details: amount, designation (if the form asks for one), and any other fields your school has added.
- Submit the form.
