For the newer Volunteer Management interface. Access and available actions depend on your volunteer or administrator role.

How to use

In the newer volunteer portal, open People, use the available search/filter controls, and open the intended record. Review the visible contact and relationship information. Use Log Note to record the interaction, then verify it appears in the record/timeline. Existing notes have separate edit/delete actions where authorized.

Administrators use Constituents and can inspect a record’s timeline and assignment context. Search/discovery and email permissions are checked separately from basic portal access.

Troubleshooting

A volunteer’s role, assignment, discoverability/access settings, and confidentiality status can all affect visible people and actions. Do not conclude that a record is absent from the school database because it is absent from one volunteer’s table.

Scope

The exact fields a volunteer can see are role-dependent. Do not disclose hidden contact or giving data merely because an administrator can access it.

A custom field or profile section is missing

In VM2, administrators manage school-wide visibility through Settings → Field visibility in the announced interface, or Settings → Constituent profile and Fields & filters in the current layout. A field must be shown in a visible profile section before it can be exposed to volunteers. Custom-field filters are offered under Other Fields when enabled for the table.

Have a Superadmin, Volunteer Management Superadmin, or Volunteer Management Admin review the school settings, then Roles & Permissions → edit the volunteer role → View Custom Fields → Preview. That volunteer-role permission covers custom fields together within its constituent scope; it is not an individual field-by-field role switch. A role cannot override school-hidden fields. The hiding also applies to corresponding merge-token and Outbox displays. Do not change an unrelated Online Giving staff role to solve VM volunteer field visibility.
