For the established (legacy) Volunteer Management portal. Access and available actions depend on your volunteer or administrator role.
The Send an Email page builds recipients from the volunteer's assigned constituents in roles that can send email, and requires a preferred email containing an @ sign. Verify the intended school/unit, role, assignment and preferred email first. A gift existing in the database alone does not put a constituent in every volunteer's recipient list.
Recipient labels and visible filters come from the applicable standard/custom assignment filters. Check those filters and the saved gift/constituent identifiers if a donor status seems wrong. In this page, choosing a thank-you template inserts content and sets the thank-you checkbox; that action itself does not query all donors in the new fiscal year. Do not diagnose a fiscal-year synchronization bug solely because the donor gave on a particular date. The actual record and filter configuration must be reviewed to identify the cause.
Will a recurring donor return to “gave but no thank you sent” after every installment?
No. In the legacy Volunteer Management portal, gave but no thank you sent checks the current fiscal year, not each individual gift. A constituent appears when they have given in that fiscal year and do not have a recorded gift conversation with the outcome thanked for gift in that same fiscal year.
Once that thank-you is recorded, another monthly installment does not by itself put the donor back in this filter. A separate one-time gift later in the same fiscal year does not reset it either. This filter is therefore useful for thanking a donor once per fiscal year; it is not an installment-by-installment or every-gift acknowledgement queue.
To record the acknowledgement, open the constituent from My Assignments and use the supported note or email controls to record the gift conversation and thank-you. Sending an email without recording the thank-you outcome is not equivalent. If a donor remains in the filter, check the recorded outcome and fiscal year rather than assuming the next installment reset it.
