How to use
- As a donor, open your recurring gift from your own account or its private management link. As an administrator, open Online Giving → Manage Gifts → Recurring Subscriptions, find the subscription, and click its Donation ID.
- Review the subscription, payment method, and future payment schedule.
- In the newer management page, choose Edit Recurring Gift Details for the next payment, frequency, installment amount or ending date; click Submit after editing. Edit Payment Details changes the payment method separately. Availability varies with processor and gift type.
- Save and review the resulting schedule. Use the cancellation control if your intent is to stop future payments, and verify the cancellation message.
Rules
Staff who modify or cancel recurring gifts need Superadmin, Fundraising Superadmin, Gift Management Admin, or Finance Admin. Advanced Campaign Admin, Advanced Form Admin, and Reporting Admin alone do not include those actions. Donor ownership and a valid private management link are separate access paths; they do not require an administrator role. Ended/canceled gifts are not normally editable by donors. Donor amount changes are restricted for pledges and gifts with an incentive/reward.
The newer editor warns that changing the installment amount removes donor coverage of processing fees for future installments. An end date means no payments will be charged after that date. Changing a payment date can optionally apply the day to future payments when that control is offered.
Troubleshooting
If payment details are missing, use the page’s add/update-payment controls. If controls are absent, check the subscription state, role, processor, and gift type. Cancellation does not itself refund previous payments.
If an administrator cannot edit
A Superadmin or Fundraising Superadmin can review the person under Online Giving → Administrators, open their administrator record, and use Role(s) → Add / Add Another → select the role → Update Role(s). Roles contain fixed capabilities; partners select roles rather than turning individual permissions within a role on or off. Also review the assigned campaigns/forms or groups for actions scoped to those records. Roles are additive, so review every assigned role before narrowing access.
Donor-covered fees on recurring installments
When an eligible recurring gift is set up with donor-covered processing fees, the saved coverage amount is carried into its installments. The donor does not receive a new fee-choice prompt before every automatic charge. Recurring gift details display Payment Processing Fee (per installment).
Changing the installment amount removes fee coverage for future installments; it is not automatically recalculated from the new amount. This applies when an administrator or donor changes the amount through the supported recurring-gift editor. The designation-editing workflow also clears previously saved coverage when it saves replacement designation selections. Review the resulting installment and fee breakdown after an edit. Prior payments retain their original recorded amounts; editing or canceling a schedule does not refund them.
