Organization Records in GC Gift Officer

How to import organization records - foundations, corporations, and non-profits - and what turning them on unlocks across GC Gift Officer.

What an Organization record is

Every record in GiveCampus is one of two types: an Individual or an Organization. Individuals are people. Organizations are the non-person prospects and donors you cultivate the same way - foundations, corporate giving programs, family trusts, and similar entities that give as an entity rather than as a person.

Organizations are a Gift Officer feature. If your school doesn't have the Gift Officer product, you won't see Organization records when mapping your files in the School-level 

Before you start

• Each school can only have one import configuration for constituents (including both Individuals + Organizations). If you already import Individuals, you'll add organization mapping to that same configuration rather than starting a new one.
• IDs are shared. Every constituent - Individual or Organization - needs a unique Constituent Identifier. An Organization can't reuse an ID already assigned to an Individual, or vice versa.

How to import organizations

1. Open your constituent import configuration
2. On the Basic Information step, check “Import should create or update constituent records (individuals and/or organizations).”
3. Map a Record Type column. This column's values tell GiveCampus what each row is: Individual or Organization. Only certain values are supported, any other value in that column will fail the row.
   Note: The "Import should create or update constituent records" checkbox must be checked in order for this to appear. 
4. Add an Organization Data section and map its fields. Only Name is required, but additional fields are supported. See the full field list below.
5. Run the import and review row errors. Common issues: a missing Name, an invalid Record Type value, or a Website/LinkedIn URL that isn't a full http(s):// link. Fix and re-run.

Field reference

Fields available on an Organization record. Constituent Identifier and Record Type live at the top, constituent level; the rest are mapped specifically in the Organization Data section. There is some overlap with the Individual Fields. You may use the same column in your file for both fields if you prefer.

What unlocks after your first import

Organization tools stay out of the way until you actually have organization records. The moment your first one exists, this turns on school-wide:

• Record Type filtering — An All Records / Individuals / Organizations filter appears everywhere you filter constituents.
• Industry filter — Filter your list of prospects and constituents by the industries you've imported.
• Search and selection — Organizations become findable in Opportunities, Solicitation Plans, Task creation, Interaction logging, and quick search.

The organization profile page

An organization's profile is built around the same panels an individual's profile uses, with a few swapped in:

• Industry
• Website
• LinkedIn

A Note on Relationships: 
Relationships span individuals and organizations. You can associate Organizations as relationships to Individuals, Organizations to other Organizations, or Individuals to Organizations.
 

Areas that do not leverage Organizations

There are a few intentional places where Organization are not supported. 

• Email or texting. Today outbound communications like email and text sent via GC GO  only support contacting Individuals. 
• Cadences, trips, or meetings. 
• Employer or matching-gift linkage. Importing an Organization doesn't connect it to any individual's Employer field, and it isn't part of the Double the Donation matching-gift lookup on your donation forms.
