This guide covers what Schoolwide Data is, who can see it, the five views it contains, and how to filter down to exactly the slice of the team you care about.
What Schoolwide Data is
Schoolwide Data aggregates activity across all of your gift officers — not just your own portfolio. Where a gift officer sees “My Opportunities” or “My Contact Reports,” Schoolwide Data shows everyone’s, with filters to narrow by gift officer, team, date, status, and more.
It’s designed for managers and admins who need the big picture: Is the team logging contact reports? Which opportunities are close to an ask? Who’s traveling next month? What’s sitting in the task backlog across the shop? Schoolwide Data answers those questions in one section.
The key difference: “My” views are scoped to a single gift officer. Schoolwide views are scoped to the whole school — every officer’s records, filterable down to any individual or team.
Where it lives
In the GC GO menu, click Schoolwide Data. It expands to reveal the tabs you have access to:
- Opportunities — every fundraising opportunity across the team: the asks in progress, their amounts, dates, and status.
- Plans — all solicitation plans school-wide, so you can see every prospect strategy in flight, not just your own.
- Trips — all gift officer trips across the school — useful for spotting travel, overlap, and coverage.
- Contact Reports — every logged interaction from every officer: calls, emails, meetings, and notes across the whole team.
- Tasks — what displays is based on your permissions. Gift Officers only see their own Tasks. Managers see their Tasks, along with those for the folks in their hierarchy. Admins can see all Tasks across all users.

The Opportunities view
The Opportunities tab lists every opportunity across the school. At the top you’ll find:
- A New Opportunity button to create one.
- A search box to find opportunities by constituent or gift officer.
- A Filters button (it shows a count when filters are active).
The table includes columns such as Name, Constituent, Type, Plan, Status, Ask Amount, Ask Date, Expected Response Date, and Primary Gift Officer (some columns are optional depending on your setup).
Filtering opens Filter for Opportunities, where you can narrow by:
- Opportunity type and status (multi-select)
- Ask amount (min/max)
- Ask Date and Expected Response Date (date ranges)
- Gift Officer — a filter unique to the schoolwide view, so you can zero in on one officer’s opportunities
Click Apply to run the filters, or Cancel to back out.
The Contact Reports view
The Contact Reports tab shows every interaction logged by every gift officer — the school-wide counterpart to “My Contact Reports.” Its table includes columns like Date, Title, Constituent, Participants, Contact Method, Status, and Staff (the gift officer who logged it).
Open Filter Contact Reports to narrow the list by:
- Date Range
- Status
- Contact Method
- Gift Officer — filter to one or more specific officers (available because this is a schoolwide view)
- Team — filter by team/role
Use Clear All Filters to reset. The Gift Officer and Team filters are exactly what make this view powerful for managers: start broad, then narrow to a person or a team in a couple of clicks.
