Welcome! Teams are how you organize your gift officers in GC GO — and the Teams list in School Settings is where you build and maintain them. A team is the unit a staff member belongs to, and that one setting quietly powers a lot: your reporting segments, which cadences reach which people, saved filters, and how imported data gets sorted. Get your teams right and the rest of GC GO lines up with how your shop actually works.
This guide walks you through the Teams list start to finish: where it lives, how to add a team, rename one, reorder the list, set the default team for imports, and delete a team you no longer need — plus why some teams can’t be deleted and what to do about it. It takes just a few minutes.
What the Teams list does for you
The Teams list is the single place you define the teams your gift officers can belong to. From here you can:
- Build your structure. Create a team for each unit you run — Annual Giving, Major Gifts, Leadership Annual Giving, a student calling program — so staff can be grouped the way you think about them.
- Drive your reporting. Teams are the segments behind the Team Activity view, so clean teams mean clean team-level metrics.
- Target your cadences. Cadences can be scoped to specific teams, so the right outreach reaches the right people.
- MOTO use. If you purchased MOTO for your student program, you can assign MOTO use to the student team so other users don't see the functionality.
Where the Teams list lives
From the GC GO menu, open School Settings and click Teams. The page opens with:
- A Teams heading at the top.
- A New Team button, top right.
- Your existing teams, listed in order, each with a drag handle on the left and edit (pencil) and, where available, delete (trash) icons on the right.
Add a team
- Click New Team. A panel slides in from the right titled New Team, with the note: “Create a new team and optionally set it as the default for importer. Fill in the name and click Save to add it.”
- Enter a Team Name. This is required — it’s the name gift officers, cadences, and reports will use.
- (Optional) Check Default for importer if you want new gift officers imported from an outside source to be assigned to this team by default. Only one team can hold this flag at a time (more on that below).
- Click Save. The button reads Saving… while it works, then a “Team Created” confirmation appears — “The team has been created.” — and the new team joins your list.
Rename or edit a team
- Click the pencil icon on the team’s row. The panel slides in titled Edit [Team Name] Team, with the note: “Update the team name or change its default importer status. Changes are saved when you click Save.”
- Update the Team Name, toggle Default for importer, or both.
- Click Save. You’ll see a “Team Updated” confirmation — “The team has been updated.”
Renaming a team updates it everywhere it’s used — assigned gift officers, cadences, and reporting all follow the new name automatically. There’s no need to reassign anyone.
Setting the default team for imports
The Default for importer checkbox marks the one team that imported gift officers get assigned to when no other team is specified.
- Only one team can be the default at a time. When you mark a team as the default, GC GO automatically clears the flag from whichever team held it before — so you never have two competing defaults.
- You can set this when you create a team or anytime after, by editing the team and checking the box.
Deleting a team
When a team is no longer needed, you can remove it — but only if nothing depends on it.
- If the team has no gift officers and no cadences assigned, a trash icon appears on its row. Click it to delete the team. You’ll see a “Team Deleted” confirmation — “The team has been deleted.”
- If the team has staff or cadences assigned, the trash icon won’t appear at all. That’s the safeguard: GC GO won’t let you delete a team that people or cadences still rely on.
To delete a team that still has members, first move its gift officers to another team (in Staff Management) and reassign or remove any cadences scoped to it. Once nothing points to the team, the trash icon appears and you can delete it.
How Teams connect to the rest of GC GO
Teams aren’t just labels — they wire into several parts of GC GO:
- Staff assignment. Every gift officer belongs to a team, set on their staff record in Staff Management.
- Reporting segments. The Team Activity overview groups gift officers by their team, so your teams are your reporting segments.
- Cadences. Shared cadences can be scoped to specific teams, controlling which staff a cadence applies to. This is particularly important for folks using GC Students, as all work assigned to students is via a Shared Cadence.
- Saved filters. Filters can be scoped by team, so people see the slices that matter to them.
