A Saved List is your own hand-picked group of constituents — the reunion committee you’re cultivating, the ten prospects you want to see on your Boston trip, the donors you promised to call before fiscal year-end. You decide exactly who’s on it, and GC GO keeps it ready to filter on whenever you need “your people.”
This guide is for gift officers at GiveCampus University: how to create a list, how to add and remove constituents right from their records, and how to use your lists to filter Prospects, Constituents, and the Trip Planner.
Lists vs. filters. A Saved List is static: people are on it because you put them there, and they stay until you take them off. If you want a group that updates itself — everyone in a class year, everyone without a contact in 90 days — use Filters (and save them as a Quick View) instead.
Where Saved Lists live
From the GC GO menu, click Saved Lists. You’ll see a table of every list you’ve created, with its Name, Date Created, and Number of Constituents.
Your Saved Lists are yours alone. Colleagues can’t see, edit, or add to them, and you won’t see theirs.
Create a list
- On the Saved Lists page, click New List.
- Enter a List Name — something you’ll recognize at a glance in a dropdown. “FY27 Football List” beats “List 3.”
- Under How would you like to create your list?, choose one:
- Manually Add Constituents — start with an empty list and build it one person at a time from their records (see the next section). This is the quickest way to get started.
- Upload a File — start with a CSV of people you already have. The file needs one column,
external_id, containing each constituent’s ID from your CRM.
- Click Create List.
You’ll see “List created successfully.” An empty list shows 0 constituents until you add someone. An uploaded list shows Upload in Progress for a moment while GC GO matches your IDs, then fills in its count.
Add constituents to a list
You can add someone to a list from two places — wherever you happen to be looking at them.
From a constituent’s record
- Open the constituent’s record.
- In the icon row at the top, click the bookmark icon (Add to Saved List).
- A panel opens with every one of your Saved Lists and how many constituents each holds. Check the box next to each list this person belongs on.
From the side panel
Anywhere you can click a constituent’s name to open the quick side panel — mainly, from the task page — click Add to Saved List in the panel and check the lists you want.
Either way, the change saves the moment you check the box. There’s no Save button to hunt for, and the counts update right away. You can add the same person to as many of your lists as you like.
Adding manually works for individuals. Organizations don’t show the Add to Saved List button.
Remove constituents from a list
Removing works the same way as adding — just uncheck the box.
- Open the constituent’s record (bookmark icon) or their side panel (Add to Saved List).
- Uncheck the list you want to take them off.
That’s it. They’re off the list immediately, and nothing else about their record changes.
Cleaning up a list? Open the list from Saved Lists, click each constituent’s name to pop open their side panel, and uncheck the list from there. You never have to leave the page.
Use a list to filter on your people
This is where Saved Lists pay off. On these pages, look for the Select a List dropdown next to Filters:
- Prospects (your portfolio — your school may call it something else)
- Constituents
- Trip Planner, when you search for constituents to visit
Choose a list and the page narrows to just the people on it. A Viewing List: [list name] banner shows which list you’re looking at; click the x on the banner, or pick All Lists from the dropdown, to go back to everyone.
You can layer a Saved List with your other filters and search — for example, your “Reunion Committee” list plus a filter for people without an active plan.
The Saved List dropdown won't appear until you have created at least one list.
Heads up: Applying a shared, schoolwide Quick View clears whatever Saved List you had selected. Pick the list again afterward if you want both.
Manage your lists
Open the Saved Lists page and click a list’s name to see everyone on it. Use Search Constituents by Name or Email to find someone on a long list.
Click the ⋯ menu at the end of any row on the Saved Lists page for more:
- Add to Cadence — enroll everyone on the list in a cadence at once. Great for working a list you just built.
- Update List — rename the list.
- Delete List — remove the list entirely. GC GO asks “Are you sure you want to delete this Saved List?” Deleting a list doesn’t touch the constituents themselves; it only removes the grouping.
Troubleshooting
I don’t see Saved Lists in my menu, or the Add to Saved List button on records.
Saved Lists requires the Saved Lists permission. Ask your GiveCampus admin to add it to your role.
The Add to Saved List panel says I don’t have any Saved Lists yet.
You’ll need to create one first. Click Create a list in that message, or go to Saved Lists → New List.
I don’t see the Select a List dropdown on Prospects, Constituents, or Trip Planner.
The dropdown only appears once you have at least one Saved List. Create a list and refresh the page.
I can’t add an organization to my list.
Adding from a record or side panel is available for individual constituents only.
A colleague’s list isn’t showing up for me.
Saved Lists are private to the person who created them. If you’re working the same group, each of you can build your own copy — or use a shared Quick View if the group can be described with filters.
My uploaded list says “No constituents could be matched in the upload.”
GC GO couldn’t find any of the external_id values in your file. Double-check that the column is named exactly external_id and holds CRM constituent IDs, then create the list again.
I created a list, but its page says “This list is empty.”
That’s expected for a list you chose to build manually. Open any constituent’s record or side panel and use Add to Saved List to start filling it.
