There are multiple places in GC Gift Officer from where you can create a new contact report. The main five pages are listed below.

- Prospect Page
- Prospect/Constituent Overview Page
- My Tasks Page
- After Sending an Email(s) from GCGO
- Navigating to the Create Contact Report Page
From the Home Page:
- Click on Home on the left side navigation
- From the Home page, click the “New Contact Report” button
- Type in your constituents name and select them from the dropdown, click continue
- Continue to step 2
From the Prospect Page:
- Click on Prospects on the left side navigation
- From the Prospects page, click the “Create Contact Report” button
- Type in your constituents name and select them from the dropdown, click continue
- Continue to step 2
From the Prospect or Constituent Bio Page:
- Click on Prospects or Constituents on the left side navigation (shown in above)
- From the Prospects or Constituents page, click on a Prospect or Constituent’s name
- On the Prospect or Constituent Bio page, click on the contact report icon
- Continue to step 2
From the My Tasks Page:
- Navigate to the My Tasks page by either clicking on Tasks on the left side navigation or by clicking on one of the Task buttons on the Home page
- From the My Tasks page, click on a Task Title to open the Task
- On the Task page, click the Contact Report Button
- Continue to step 2
After sending an Email from GCGO:
- When sending an email from GCGO – click on the “Create contact report for this email” checkbox, craft your email, and click Send(More information on how to email or bulk email can be found in the How to Email in GCGO guide)
- Continue to step 2
2. Input Contract Report Information
- Fill out the contact report form with key details such as:
- Contact Report Title: This is how you will identify the contact report in GCGO
- Contact Method: How was the constituent contacted? Ex. Virtual Visit, Email, etc.
- Significant Interaction Checkbox: This will allow you to designate whether the interaction was significant and distinguish it from other interactions
- Date of Interaction: The date the interaction occurred
3. Link the Contact Report to a Plan (if applicable)
- Click the “Link to task or plan?” checkbox for the contract report to appear on the constituent’s plan
- Select the plan from the Select Plan dropdown
- Select a task from the Select Task dropdown. If needed, you can create a new Task from this dropdown.
- If creating a new task, select “Create a Task” and select the Plan Stage. The title of the Task will match the Contract Report Title
4. Add Staff, if needed
- Add additional staff to the contact report by licking the Add Another link in the Staff section
- Primary Staff: the primary staff for this constituent/interaction
- Secondary Staff: any additional staff that participated in the interaction, secondary staff can view and edit the contact report and do not need to fill out an additional contact report for this interaction
- Checking the “Notify” checkbox next to their name sends the staff member an email with a link to the contact report
- Notification Recipient: any staff that you would like to notify of the interaction but did not participate in the interaction can be listed here. They will receive a link to the contact report and it will be read only
- The “Notify” checkbox is grayed out for these users as they are already getting a notification email
4. Add Participants, Spouses, or Partners, if needed
- Add additional staff to the contact report by licking the Add Another link in the Staff section After finishing, you’ll be sent back to your GC GO settings. Your status will update from “pending” to “approved” once the connection is confirmed (no extra steps required in your Outlook inbox)
- If you reach this step and still see the status as “pending” try refreshing the page
