The Opportunity Settings page gives you powerful control over how opportunities look and behave at your institution. From this single page, you can customize field labels, section headings, default statuses, and status progression workflows—all without needing to contact GiveCampus support.
This guide walks you through every aspect of opportunity setup and configuration, from initial feature setup to importing and exporting data, so you can tailor opportunities to match your team’s workflow.
How to Access Opportunity Settings
To get to the Opportunity Settings page:
- Log in to GC Gift Officer as a user with the GC Gift Officer Admin permission role.
- In the left sidebar, navigate to Settings > School Settings.
- Select Opportunity Settings from the left sidebar.
You’ll see several configuration areas: Opportunity Fields, Opportunity Section Labels, Opportunity Types, Opportunity Statuses, Opportunity Likelihoods, and Opportunity Allocations.
Setting Up Opportunity Features
Before diving into field-level configuration, there are a few foundational settings to set up under School Settings > Opportunities. These control how opportunities and allocations behave across your institution.
Opportunity Fields
The Opportunity Fields table lets you control how certain fields display in your opportunities within GC Gift Officer. This includes all amount fields, date fields, primary gift officer, and secondary gift officer fields. You can customize the labels that your team sees in the UI while keeping the underlying file column headers (used for data exports) unchanged.
These will persist on the Opportunity Form as well as any column headers for tables in GC Gift Officer.
How to Relabel a Field
- Find the field you want to rename in the Opportunity Fields table.
- Click the edit icon (pencil) in the Action column.
- Enter your preferred label.
- Save your changes.
Determining Which Fields to Display
When a field is set to active, it appears on the opportunity form, in filters, and in tables throughout GC Gift Officer. When you toggle a field to inactive, it disappears from all of those places—your team won’t see it or be prompted to fill it in.
This is a great way to simplify the opportunity experience for your team.
Opportunity Section Labels
Section labels let you customize the headings that organize the Opportunity page. By default, opportunities are divided into sections like Expected Ask, Ask, Received Gift Details, Opportunity Details, and Staff. If those names don’t match how your team thinks about the process, you can rename them.
How to Change Section Labels
- Scroll to the Opportunity Section Labels area on the settings page.
- You’ll see a table listing each section’s default name alongside its current custom label.
- Click the edit icon in the Action column for the section you want to rename.
- Type your new section label and save.
You can rename any or all section headings. This is especially useful if your institution uses different terminology for stages of the gift process.
Opportunity Types
Opportunity Types are created by being included in your imported data. Opportunity Types allow you to categorize your opportunities (e.g., Major Gift, Annual Fund, Planned Gift). Types help your team filter, sort, and report on different kinds of fundraising activity. You can add, rename, or deactivate opportunity types from the settings page.
Opportunity Statuses
The Opportunity Statuses section gives you fine-grained control over how opportunities will appear and how they can be interacted with in various stages.
Setting a Default Status
You can designate one status as the default for all new opportunities. When a default is set, every new opportunity created in GC GO at your institution will automatically start with that status—users will not be able to select a different status at creation time.
How to Set a Default Status
- Navigate to the Statuses area within Opportunity Settings.
- Find the status you want as the default.
- Select it as the default option.
- Save your changes.
Important: Only one status can be the default at a time.
Configuring Required and Locked Fields
All fields on the opportunity are able to be set as required or locked down based on the status of the opportunity. This can be done at both the opportunity and allocation level.
- Locked fields: These fields are not editable when the opportunity hits a certain status.
- Required fields: These fields must be filled in before an opportunity or allocation can be saved. These can be based on the status of the opportunity.
Configuring Status Progression
Status progression lets you define which statuses are available as “next steps” from any given status. This creates a guided workflow so gift officers move opportunities through your pipeline in the right order.
How It Works
For each status, you can configure the allowed next statuses. When an opportunity is in a particular status, only the statuses you’ve designated as “allowed” will appear as options for the= gift officer.
How to Configure
- Select allowed next statuses: For each status in your list, choose which statuses an opportunity can move to next.
- Lock a status (optional): If a particular status should be a terminal state, you can lock the status field. When locked, the status options are restricted and the opportunity stays in that status unless changed in your CRM.
- Leave progression open: For statuses that aren’t locked, gift officers can select from the allowed next statuses you’ve configured.
Important: It will not be possible to change the status of this Opportunity in GC GO once an Opportunity is saved in a status where the Status field is locked.
Opportunity Allocation Amount Types
You can configure allocation amount types to require that allocation amounts equal a related field on the opportunity. This is useful for ensuring that the sum of allocations matches a specific opportunity amount (such as the ask amount or expected close amount), keeping your data clean and consistent.
