📦 Section 1: Prepaid Payment Processing (PPP)
Q1: How is my PPP billed across my contract? Rather than billing your full PPP commitment upfront, GiveCampus spreads it across your contract years—with a portion invoiced at the start of each year. That said, your PPP isn't locked to any single year. You can draw on it whenever you need it throughout the life of your contract.
Q2: Why am I receiving a PPP invoice mid-year when I thought my processing was already covered? You may be receiving an invoice because your fundraising volume has exceeded the PPP amount billed to you so far. Under the Accelerated Billing clause, GiveCampus invoices from your future contracted PPP when your donation volume outpaces what's been pre-billed—this ensures you stay covered at the lower PPP rate rather than tipping into overage charges. See the Accelerated Billing Clause FAQ below for more info.
Q3: What happens if I raise more than my total contracted PPP? Once you've raised beyond your full contracted PPP, additional donations are billed at the standard overage rate, which is typically higher than the PPP rate. GiveCampus will always apply any remaining PPP before charging overage rates. Consult your contract for your specific rate information.
Q4: How does a mid-year PPP invoice affect what I owe at renewal? Any PPP invoiced mid-year is credited against your next scheduled invoice. Your renewal bill will be reduced by exactly what was accelerated. You will never pay more than your contracted total—unless you exceed your total contracted PPP amount, in which case the standard overage rate applies.
Q5: If I don't use my full annual PPP allocation, does the unused balance roll over into the next subscription period?
Yes. Any unused prepaid payment processing (PPP) balance carries forward into your next subscription period. Your annual invoice remains the same, but the rollover adds to the new year's contracted allotment, increasing your total PPP available before overage charges apply.
How rollover interacts with other billing rules
- Renewal invoices remain unchanged: The rollover balance does not reduce your annual invoice. It simply increases your available PPP for the new period.
- Accelerated Billing applies as usual: If your donation volume exceeds the invoiced PPP for the current period, accelerated billing will pull from your future contracted PPP. This accelerated amount is credited against your total at renewal, just like a standard mid-year invoice.
- Overage charges: If your donations exceed the combined total of your rollover balance and the current-year allotment, additional donations are billed at the standard overage rate (see Q3).
How to monitor your PPP balance
Track your usage and remaining balance in real time on the Subscription Overview page. From your admin sidebar, navigate to School Dashboard > Subscriptions to view your current subscription period’s usage and balance.
⚡️Section 2: The Accelerated Billing Clause
Q5: What is the Accelerated Billing clause? The Accelerated Billing clause is a provision in your contract that allows GiveCampus to invoice you for future PPP early—before your contract year ends—when your donation volume exceeds the amount of PPP you've been invoiced for so far. It ensures your processing costs are covered in real time without requiring you to pay 100% of your PPP upfront.
Q6: What triggers Accelerated Billing? Accelerated Billing triggers when the percentage of donations you've raised exceeds the percentage of PPP that's been invoiced to you. For example, if you've been invoiced for 50% of your annual PPP but you've raised more than 50% of your contracted donation volume, the clause activates.
Q7: How much am I billed when Accelerated Billing triggers? GiveCampus bills in increments of at least 10% of your annual PPP amount—enough to give you a few months of coverage in most cases. If you've exceeded your invoiced amount by more than 10%, the invoice will reflect the full amount you've gone over, so you're always fully covered going forward.
Q8: Does Accelerated Billing mean I'm paying extra? No. Accelerated Billing pulls from your future contracted PPP—it is not an additional charge. Each accelerated invoice reduces what you'll owe at your next renewal. You're paying ahead of schedule, not paying more in total.
Q9: Why does GiveCampus use Accelerated Billing? The short answer: to balance your needs for flexibility and cost management. Without it, the moment you raised more than your invoiced PPP, every dollar would immediately be billed at the higher overage rate. The Accelerated Billing clause instead pulls forward your future contracted PPP—keeping you at the lower rate you negotiated—and only charges you when you actually need the coverage. It's designed to protect your pricing, not to generate surprise invoices.
