Troubleshooting offline gift affiliation display issues

When an offline donor has multiple affiliations (for example, alum and parent) but doesn’t appear on every expected donor list, the issue is usually with how the affiliations are formatted in your CSV.

This guide explains how to format multiple affiliations correctly and how to verify your upload.

Quick checklist

• Offline gift CSV files support up to 6 affiliations per donor.

• Use these exact column names:

  • affiliation, affiliation_value

  • affiliation2, affiliation2_value

  • affiliation3, affiliation3_value

  • affiliation4, affiliation4_value

  • affiliation5, affiliation5_value

  • affiliation6, affiliation6_value

• Only the first pair (affiliation and affiliation_value) is required; add additional pairs if needed.

• Each affiliation/value must go in its own column pair; do not combine multiple affiliations in a single column.

• Leaderboards may take up to 10 minutes to refresh after an upload.

• Confirm your upload by checking the Offline Donors table under the Offline Gifts section of your campaign menu.

Formatting multiple affiliations in your CSV

For donors with more than one affiliation, include each affiliation/value pair in its own set of columns. Do not combine multiple entries in a single column.

• First affiliation: affiliation and affiliation_value

• Second affiliation: affiliation2 and affiliation2_value

• Continue in this pattern up to affiliation6 and affiliation6_value

Example 1: Alum (Class of 2001) and Parent (1st Grade)

Note: Only the first pair is required. If a donor has more affiliations, add each using its own column pair. The system only supports up to 6 pairs.

Step-by-step: fixing missing affiliation displays

1. Open your offline gift CSV.

2. Confirm that the CSV includes the correct column pairs:

   • affiliation, affiliation_value, and if applicable, affiliation2, affiliation2_value through affiliation6, affiliation6_value.

3. For each additional affiliation, add a new column pair (for example, affiliation2="parent" and affiliation2_value="1st grade").

4. Save and upload your CSV using your normal offline gift workflow.

5. Verify the upload by checking that the donor’s affiliations display as expected in the Offline Donors table (accessible via the Offline Gifts menu).

6. Allow up to 10 minutes for campaign leaderboards to refresh.

Common issues and fixes

• Multiple affiliations in one column:

  • Issue: Combining multiple entries (e.g., parent: 1st grade; 3rd grade) in a single column.

  • Fix: Assign each affiliation/value its own pair of columns.

• Incomplete affiliation pair:

  • Issue: One column in a pair is blank (for example, affiliation2 is filled but affiliation2_value is blank).

  • Fix: Ensure both columns in every pair are completed.

• Incorrect column names or order:

  • Issue: Using non-standard names or incorrect sequence.

  • Fix: Use the exact column names and order as listed above.

• Instant leaderboard updates expectation:

  • Issue: Donor lists or leaderboards appear unchanged immediately after upload.

  • Fix: Wait up to 10 minutes for the leaderboard to refresh.

Verifying your upload

After uploading, review the Offline Donors table (found under Offline Gifts in your campaign menu) to confirm that each affiliation/value pair from your CSV is recorded correctly before checking the live donor lists.
