Deleting API-Imported Gifts Using Data Management
To remove gifts imported via an API, use the Data Management section with a CSV file containing the unique identifiers from your original import configuration. Follow these steps:
Step-by-Step Deletion Process
1. Navigate to the Data Management Section
- constituent_id (or your school’s custom column for person identification)
- transaction_id (or your school’s custom column for gift identification)
- gift_type (include only if your import configuration uses gift type as a unique identifier)
- custom_fiscal_year (include only if fiscal year is required as a unique identifier)
- gift_source (include only if gift source is a unique identifier field in your configuration)
The exact column names depend on your school’s active import configuration. Refer to the example file displayed in the Data Management interface when you select Gifts for the correct headers.
2. Select the Gifts Deletion Option
- In the Data Management section, open the dropdown labeled "Select the type of data you want to delete." Choose Gifts to indicate you are working with gift records.
3. Prepare Your Deletion File
Ensure your CSV file includes the unique identifiers required to delete each gift. Depending on your school's import configuration, these fields may include:
Gifts option is greyed out: If the Gifts option is disabled, your school does not have an active import configuration for gifts. Work with your GiveCampus account team to configure this before proceeding.
Review the example file in the Data Management interface to confirm the exact field names.
4. Upload and Process the Deletion File
- Upload the CSV file under the Gifts deletion area in Data Management.
- The system will process the file and delete any gifts matching the identifiers provided.
Key Considerations
-
Accuracy of identifiers: Verify that all required identifier fields are included. Missing fields may prevent some records from being deleted.
-
Import configuration dependency: The required fields depend on your school’s active import configuration. When you select the Gifts option, the system displays the proper format.
-
Access permissions: Ensure you have the necessary permissions to access Data Management. If the Data Import > Data Management option isn't visible, your user role might need adjustments.
Troubleshooting
-
Confirm that your CSV file format is correct and that field names exactly match the example provided.
-
Check for system messages in the Data Management interface for indications of missing or incorrect identifiers. Correct any errors and try uploading the file again.
-
Note that this deletion process is permanent; deleted gifts cannot be recovered via the admin interface. Review your file carefully before proceeding.
Volunteer Management gifts: Gifts imported via Volunteer Management cannot be deleted using this process. For removal of these records, please work with your GiveCampus account team.
