How to view recipient and email reports for my outreach:
Go to Outreach > Reporting > Recipients. You can filter by date range or by a specific Outreach, and
Once you request the report as a CSV, GiveCampus will email it to you—typically within 10 minutes.
CSV contents: Each row lists the Constituent ID, Email or Phone, outreach name, Subject, Date Sent, and Status. Note that the CSV only shows delivery status; detailed engagement metrics (opens and clicks) are available on the individual outreach summary screen and via the View Full Metrics button.
The Outreach recipient report displays basic delivery details. Engagement metrics, including open and click data, are accessible on the specific campaign’s summary screen where you can also view top-line stats such as Open Rate, Click Through Rate, Send Rate, Bounce Rate, Conversions, and Unsubscribes.
To access full details, navigate to the campaign summary and click View Full Metrics.
Searching for Specific Recipients in Sent Outreach
To find whether a specific person received your outreach email:
1. Go to Outreach > Reporting > Recipients
2. Filter by the specific outreach you want to check
4. Search the CSV file for the person's name or email address
Integrating outreach engagement with donation data
Outreach engagement data and donation data are maintained in separate reporting systems within GiveCampus. There isn’t a built-in report that combines engagement metrics (opens and clicks) with donation data in one view.
clarifying outreach metrics and linking engagement to donations
-
Opening the recipient report: Navigate to Outreach > Reporting > Recipients. Filter by date range or by a specific outreach, then export the data as a CSV.
-
Opens explained: The open count records each recipient only once, regardless of multiple opens. The open rate is calculated by dividing this count by the total number of recipients.
-
Clicks explained: The click count shows the number of unique recipients who clicked a link. The click rate is the number of unique clicks divided by the total recipients. A separate metric tracks all click events for cases where a recipient clicks more than once.
-
Conversion vs. click tracking: Click tracking logs which recipients clicked a link, while conversion tracking ties donations or event registrations back to an outreach. Conversion tracking only applies if you use the GC Links tool in the email editor; plain URLs do not support conversion attribution.
-
Linking outreach and donation data: Both outreach engagement (opens, clicks, conversions) and donation records are stored in separate systems. To correlate these metrics, export the recipient CSV and the relevant gift report from Online Giving, then match records using Constituent ID (preferred) or email address.
-
tips for best practices:
- Always use the GC Links tool to ensure donation or event conversion data is captured.
- Use the recipient CSV to verify delivery status by searching for specific email addresses or Constituent IDs.
- Aggregate open and click rates are available on the outreach summary and are not detailed per recipient in the CSV.
- When merging data, prioritize Constituent ID as the matching key, with email address as a backup.
What outreach reports show (and don’t show)
- Donation data is available separately in the Online Giving reporting sections.
