Complete Reference Guide
Overview
GiveCampus uses a role-based access control (RBAC) system to manage what each administrator can see and do within the platform. Permissions are organized by product area, and each administrator can be assigned one or more roles within each product they need access to.
This guide documents every role and permission across all GiveCampus products, providing a complete reference for understanding and configuring team access.
How Roles & Permissions Work
Key Concepts
- Roles are predefined sets of permissions grouped by product area (Online Giving, Events, Outreach, GC Gift Officer, and GC Video).
- Each administrator can hold multiple roles across different products.
- Permissions are additive — if a user has two roles, they receive the combined permissions of both.
- Object-level access provides additional control over which specific campaigns, giving forms, or events an administrator can access.
Object-Level Access
In addition to role-based permissions, administrators can be granted object-level access to specific items:
- All Campaign Access — grants access to every campaign. Required for the Fundraising Superadmin role.
- All Giving Form Access — grants access to every giving form. Also required for Fundraising Superadmin.
- All Event Access — grants access to every event. Required for the Events Superadmin role.
Without these flags, administrators only see the campaigns, forms, or events they have been individually granted access to (via group membership).
Granting "All Campaigns" access
Grant object‑level access to allow an administrator to view every campaign they need to manage.
Follow these steps:
- From your school's School-Level Dashboard, click on Administrators.
- Select the administrator whose settings you want to review.
- In the Campaign Access section, check the box labeled All Campaigns.
- The checkbox description reads: "Check this box if user has access to all campaigns, including their tiered landing pages, regardless of campaign groups."
Notes:
- The All Campaigns checkbox is disabled for administrators with the Fundraising Superadmin role (it is automatically enabled for that role).
- Without this option enabled, administrators only see campaigns they have been explicitly granted access to via campaign groups.
Troubleshooting: I can see the admin dashboard but not campaigns or donors
If a newly added administrator can open the GiveCampus admin dashboard but cannot see any campaigns, forms, or donor data, the cause is almost always visibility (object‑level access) — not the role itself. New administrators need both role-based permissions AND object-level access to see campaigns.
Quick checklist
- Confirm the user has an Online Giving role assigned (for example, Gift Management Admin) — a role alone does not guarantee they can see campaigns.
- Confirm the user has object‑level access to campaigns: either the All Campaigns flag (All Campaign Access) is enabled or the user has been added to the specific campaign groups they should manage.
- Remember: without object‑level access, administrators can see the admin dashboard but will not see any campaigns, forms, or associated data.
- Only an existing administrator who has the Manage Administrators permission can grant roles or change campaign access for other administrators.
Step-by-step troubleshooting

Open your School-Level Dashboard and go to Administrators. Select the administrator who’s reporting the issue.

Verify the assigned roles:
- Make sure the administrator has an Online Giving role (for example, Gift Management Admin) if you want them to manage gifts, refunds, and reporting. Having a role like "Gift Management Admin" is not sufficient on its own — they also need object-level access.

Verify object-level access in the same administrator record:
- In the Campaign Access section, check whether the All Campaigns checkbox is enabled. The All Campaigns checkbox must be checked in the administrator's settings to grant access to all campaigns. (If you prefer to limit visibility, do not check All Campaigns and instead add the administrator to the appropriate campaign groups in this section.)
Troubleshooting: Donation IDs appear in lists but are not clickable
Quick answer
If Donation IDs are not clickable, the administrator lacks object-level campaign access rather than the proper role permission.
Why this happens
- The Gift Management Admin role permits managing gifts (refunds, reporting, recurring gifts) but does not automatically grant access to individual donation records.
- Without object-level access (via campaign access settings), donation rows may appear in reports but the Donation IDs remain unclickable.
How to restore clickable access
- From your School-Level Dashboard, click Administrators and open the administrator's record.
- Verify the administrator’s role includes Gift Management Admin or another Online Giving role that supports gift management.
- In the Campaign Access section, either:
- Enable the All Campaigns checkbox to grant full access, or
- Add the administrator to the specific campaign groups for the campaigns/forms they should manage.
- Save the record and instruct the administrator to refresh their admin pages.
Notes
- Use the All Campaigns option only for full visibility; assign specific campaign groups if you wish to limit access.
- Only an administrator with the Manage Administrators permission can modify roles or campaign access for others.
- If Donation IDs remain unclickable despite proper settings, check for account linking issues or email mismatches between the GiveCampus account and the administrator record.
What to check
After refreshing the page, the Donation ID in the gift listing should appear as a clickable link that opens the individual gift record.
- In the Campaign Access section, check whether the All Campaigns checkbox is enabled. The All Campaigns checkbox must be checked in the administrator's settings to grant access to all campaigns. (If you prefer to limit visibility, do not check All Campaigns and instead add the administrator to the appropriate campaign groups in this section.)

If the admin should only manage specific campaigns, add them to the correct campaign groups in Campaign Access rather than enabling All Campaigns. Being added to specific campaign groups grants access to those campaigns without giving full, school‑wide visibility.

Confirm the change was saved and have the administrator reload their admin pages. (If they remain signed in, a page refresh is normally sufficient.)

If All Campaigns is already checked but the administrator still cannot see campaigns or donors, follow the steps in the "Troubleshooting admin invitation issues" section below — there may be an account‑linking or email mismatch preventing the platform from matching the admin record to the user's GiveCampus account.
Who can make these changes
- Existing administrators with the Manage Administrators permission must grant the new administrator access to campaigns through the Campaign Access section. If you do not see Manage Administrators on your account, ask someone who does to perform the steps above.
Short reminder about visibility vs. edit permissions
- Visibility (which campaigns, forms, or events an administrator can open) is controlled by object‑level access (All Campaigns / campaign groups).
- Edit and task permissions (what the administrator can change inside a campaign) are controlled by the assigned role(s). Both layers must be set appropriately for a user to both see and manage campaign content.
- Remember: visibility (object‑level access) is separate from edit permissions, which are defined by the administrator's assigned role(s).
Troubleshooting admin invitation issues
If an invited administrator does not see admin access after accepting the invitation, it may be an account linking issue that requires manual intervention.
Why an invited administrator still appears as "Not registered"
An administrator may appear as "Not registered" if their admin record is not properly linked to their GiveCampus account. In this case, even though both records exist, the platform cannot match them to grant the expected access.
Quick checklist (for administrators with Manage Administrators permission)

Verify the invited email in the admin record
- Open the administrator’s record in your admin dashboard.
- Confirm that the email address in the record exactly matches the email used to create the GiveCampus account.

Confirm the user completed account creation with the correct email
- The invited user must sign up using the same email address shown in the invitation.
- If the user has not yet created an account, have them sign up at https://www.givecampus.com/sign_up using the invited email.

Check for account-linking or role-assignment issues
- A discrepancy between the different administrator lists can indicate an account-linking or role-assignment problem.

Verify object-level access and role assignments
- In the administrator’s record, ensure that the appropriate Online Giving role(s) are assigned.
- Confirm that any required object‑level access (for example, All Campaigns or specific campaign groups) is enabled.

If emails match but the admin still appears as "Not registered"
- Account linking issues occur when the administrator record and the user account aren’t connected, meaning the platform can’t reconcile them even if all settings are correct.
- Double-check that the email addresses are identical and that all roles and object‑level access settings are properly configured. If everything matches, there may be a technical issue interfering with automatic account linking.
What to check if automatic linking fails
- Confirm the invited email displayed in the administrator record.
- Verify the email address the user employed during sign-up (it must exactly match the invited email).
- Note the date and time when the invitation was accepted or the account was created.
- Ensure the user has confirmed their email address.
Final note on permissions
Only administrators with the Manage Administrators permission can adjust roles, update campaign access, or perform these troubleshooting steps. If you do not have this permission, ask a colleague who does to run these checks.
What to do
- Verify the email address used for the invitation in the Administrators list.
- Confirm that the invited administrator created their GiveCampus account using that exact email address.
- If they have not yet created an account, have them sign up at https://www.givecampus.com/sign_up.
- If the issue persists after verifying the email addresses, the administrator and user accounts may require manual linking.
Note
The invitation email includes a sign-up link to guide the invited user through account creation.

Managing Roles
Only administrators with the appropriate management permission can assign roles to other administrators:
- Online Giving: Requires the “Manage Administrators” permission (Superadmin and Fundraising Superadmin only).
- Events: Requires the “Event Admin Management” permission (Superadmin and Events Superadmin only).
- Outreach: Requires the “Manage Outreach Admins” permission (Superadmin, Fundraising Superadmin, and Outreach Superadmin).
- GC Gift Officer: Requires the “Staff Management” permission (Superadmin and GC Gift Officer Admin only).
- GC Video: Requires the “GC Video Admin” permission.
Roles by Product
GC Online Giving (15 Roles)
The Online Giving product has the most granular role structure, with 15 distinct roles ranging from full platform control to narrowly scoped access:
- Superadmin — Full access to all Online Giving features plus cross-product platform controls.
- Fundraising Superadmin — Full access to all Online Giving features. Requires both All Campaign Access and All Giving Form Access.
- Advanced Campaign Admin — Broad campaign management including launch, form builder, and offline gifts.
- Basic Campaign Admin — Core campaign editing and creation without launch or advanced settings.
- Tiered Landing Page Admin — Manages tiered landing pages within campaigns they have access to.
- Basic Tiered Landing Page Admin — Limited to editing specific tiered landing pages assigned to them.
- Advanced Form Admin — Full giving form management including launch and form builder.
- Basic Form Admin — Core giving form editing and creation without launch or advanced settings.
- Gift Management Admin — Focus on donations, refunds, recurring gifts, and reporting.
- Finance Admin — Financial operations including banking, deposits, refunds, and Stripe/PayPal settings.
- Communications Admin — Email templates, smart appeals, texting, personalization, and outreach.
- Reporting Admin — Read-only access to reports and statistics across campaigns and giving forms.
- Crowdfunding Admin — Campaign management focused on crowdfunding features and idea submissions.
- School-Level Settings Admin — Platform configuration including designations, email marketing, and payment settings.
- School Dashboard Admin — Manages the school-level dashboard.
GC Events (10 Roles)
- Events Superadmin — Full access to all event features. Requires All Event Access.
- Advanced Events Admin — Broad event management including publish, custom reports, and reusable fields.
- Basic Events Admin — Core event creation, editing, and registration management.
- Events Content Manager — Editing event content and activities (no publish or financial access).
- Events Communication Admin — Event content editing plus outreach integration.
- Events Waitlist Admin — View-only with waitlist access (listed in index view).
- Events Finance Admin — Financial operations including refunds, offline registration, and deposit reports.
- Events Reporting Admin — School-level reports, custom reports, and tracking links.
- Events Check-in Admin — Event check-in capability.
- Events View Only Admin — Read-only access to event information.
GC Outreach (4 Roles)
- Outreach Superadmin — Full access including admin management, settings, and unsubscribes.
- Outreach Content Manager — Create and edit outreaches and templates; view history.
- Outreach Admin — Broad outreach management including send, settings, and recipient management.
- Outreach Reporting Admin — View-only access to outreach reports and history.
Note: Online Giving and Events roles (such as Fundraising Superadmin, Advanced Campaign Admin, and Events Superadmin) also grant certain Outreach permissions. See the Outreach permission matrix for details.
GC Gift Officer (5 Roles)
- GC Gift Officer Admin — Full administrative access including staff management, school settings, and ability to view/edit all data.
- Gift Officer — Standard gift officer role with full constituent, opportunity, plan, and communication capabilities.
- GC Gift Officer Manager — Manager-level access including visibility into direct reports’ activities and shared cadences.
- GC Gift Officer Student — Limited role for student workers with own-record access to contact reports, tasks, and basic communication.
- GC Gift Officer Plan Admin — Specialized role for editing and archiving any solicitation plan.
GC Video (1 Role)
- GC Video Admin — Full access to the GC Video product including video uploads, templates, pages, and event video views.

Why an administrator appears in one list but not the other
GiveCampus provides two views for managing administrators, each with a distinct purpose:
- Home > Administrators: A centralized list showing all administrators across products (Online Giving, Events) as well as those without any roles.
- Online Giving > Administrators: A list showing only those administrators with assigned Online Giving roles. If an administrator lacks an Online Giving role, they do not appear here.
Common scenarios
- New admin added: The account appears immediately in Home > Administrators but will not show in Online Giving > Administrators until an Online Giving role is assigned.
- Removing all Online Giving roles: The administrator is removed from the Online Giving > Administrators list but remains visible in Home > Administrators.
- Admin visible only in Home > Administrators: This indicates the administrator either has roles in another product (such as Events or VMS) or no roles at all.
