ASSIGNING PERMISSIONS
Administrators in GC Events are managed via GC Events > Administrators or School Dashboard > Administrators.
Granting an administrator access to specific events
Use these steps to limit an administrator’s access to only selected events (for example, a coach who should receive registration details for one event without seeing every event):
- Open the admin list at Events > Administrators or School Dashboard > Administrators.
- Select the administrator by clicking on their name.
- In the admin settings, locate the Events Access section.
- Use the event access controls to specify which events the administrator can view and manage. Add individual events as needed.
This approach lets you control access at a granular level.
Tips:
- Restrict functionality: Combine event-specific access with a role that limits actions (for instance, assign Events Check-in Admin if the administrator should only handle check-ins).
- Assign multiple events: Repeat the add step to grant access to additional events as needed.
- Remove access: Use the removal controls to revoke access from specific events.
- Refresh permissions: Administrators must log out and log back in for changes to take effect.
- To add a new administrator, click 'Add Administrator' and provide the email address the administrator will use to access GiveCampus.
- Assign the role this administrator should be granted using the Role(s) dropdown or search. Roles can be granted individually, or can stack on top of each other. Role definitions are provided at the bottom of this article.
- Determine to which events this administrator should have access under Events Access:
- All events
- Individual events
ROLES
Roles define which actions administrators are able to perform. Roles are predetermined sets of individual actions that we have developed to reflect the different fundraising “jobs to be done.”
Roles can be granted individually, or can stack on top of each other.

Access to event registration deposit reports
Deposit reports for event registrations are available on the standard Deposit Reports page at Online Giving> Reporting> Deposit-Based Reports.
Who can view and download event registration deposit reports
-
Downloading event registration deposit reports requires the View Events Deposit Reports permission. This permission is used both for viewing the page and exporting data.
-
The following GC Events roles include this permission:
- Events Finance Admin
- Events Reporting Admin
- Events Superadmin (includes all event permissions)
-
Note: The Online Giving roles Gift Management Admin, Finance Admin, and Reporting Admin are separate. They grant access only to Online Giving reports and the Manage Gifts functionality, not to GC Events deposit reports.
-
The event deposit reports are accessed via Online Giving > Reporting > Deposit-Based Reports. When event registration payments have been deposited, the Event Registration Deposit Report appears on this page.
-
There are two report types (both requiring the same permission):
- Event Registration Deposit Report – lists transactions for an individual deposit.
- Download Date Range Event Registration Deposit Report – exports a CSV for a selected date range.
-
To grant the required permission, follow these steps:
- Open GC Events > Administrators (or School Dashboard > Administrators).
- Edit the administrator’s record and assign one of the following roles: Events Finance Admin, Events Reporting Admin, or Events Superadmin.
- Save the changes and have the administrator sign out and sign back in to refresh permissions.
-
If an administrator cannot view or download a deposit report, verify that:
- They are assigned a GC Events role with the proper permission—Online Giving roles will not grant access.
- Their Events Access includes the relevant event(s) or is set to All events.
- They have signed out and signed back in after role assignment.
- They are accessing the report from Online Giving > Reporting > Deposit-Based Reports and not from the Manage Gifts section.
The Events Finance Admin role provides access to deposit reports, while the Events Superadmin offers full access. The Advanced Events Admin and Basic Events Admin roles do not include this permission.
Granting access
- Open your admin list by navigating to GC Events > Administrators or School Dashboard > Administrators.
- Edit the user’s roles and assign the Events Finance Admin role or higher (for example, Events Superadmin for full access).
- Save your changes.
Note: Administrators must log out and log back in for the new permissions to take effect.
- Financial operations (refunds, payment cancellations, deposits)
- Custom reporting and RENXT integration
- View-only access to events
- Offline registration handling
Events Reporting Admin
Data-focused role with comprehensive access to all reporting and analytics features. Can generate insights and track performance but cannot modify events or handle operations.
- All reporting capabilities (custom, school-level, exports, RENXT)
- Tracking link management
- View-only access to events
Events Check-in Admin
Limited operational role designed specifically for event day staff or volunteers. Only has the permissions needed to check attendees into events.
- Event check-in functionality only
Events View Only Admin
Basic read-only access for stakeholders who need visibility into events but shouldn't make any changes.
- Read-only access to events and basic interface
Troubleshooting Outreach Access Issues
When Events Administrators Can't Send Email Communications
If your Events administrators have access to the Events module but cannot send outreach emails (such as event reminders), this is typically a permissions configuration issue.
To enable outreach functionality for Events administrators:
1. Navigate to administrator settings: Go to GC Events > Administrators or School Dashboard > Administrators
2. Locate the affected administrators in your administrator list
3. Remove specific event permissions: Clear all Events permissions except "superadmin"
4. Apply superadmin role: Assign only the "superadmin" role to these administrators
5. Have administrators refresh their access: Ask them to log out completely, then log back in
6. Test outreach functionality: Have them attempt to send the outreach email again
Troubleshooting Export and Download Issues
When Administrators Can't Export Registration Lists
If an administrator has been assigned permissions but cannot download or export registration data:
Check current permission level:
- Events View Only Admin and Events Check-in Admin roles cannot export data
- Basic Events Admin has limited reporting access
- Events Reporting Admin and Events Finance Admin have full export capabilities
Required permissions for downloading:
- Registration exports require Events Reporting Admin, Events Finance Admin, Advanced Events Admin, or Events Superadmin role
- Custom report downloads require Events Reporting Admin or higher
- School-level event reports require Events Superadmin role
To fix export access:
- Navigate to GC Events > Administrators or School Dashboard > Administrators
- Locate the administrator in question
- Remove their current Events role
- Assign Events Reporting Admin role (for reporting-only access) or Advanced Events Admin role (for broader access)
- Have the administrator log out and log back in to refresh permissions
- Test the export functionality
Troubleshooting: Events Superadmin can't see registrants for a specific event
If an administrator with the Events Superadmin role reports that they cannot see registrants, attendees, or event details, the issue is typically due to their event-level access settings or a stale session. Follow these steps to resolve the issue:
Step 1 — Verify event-level access
- Open the admin list at GC Events > Administrators (or School Dashboard > Administrators).
- Click the administrator's name to open their settings.
- In the Events Access section, check if the admin is set to:
- All events – full access, or
- Individual events – access only to added events.
- If set to Individual events and the event is missing, add the event and save the changes.
Tip: To grant access to every event, set Events Access to All events.
Step 2 — Refresh the session
After any change to roles or Events Access, the administrator must sign out and then sign back in to update their permissions.
Step 3 — Further troubleshooting
If the administrator remains unable to view registrants despite having the Events Superadmin role and All events access:
- Ensure they sign out and sign back in to refresh the session.
- Verify that registration data exists for the event by checking it with another admin who has confirmed access.
Additional notes:
• Roles determine what an admin can do, while Events Access controls which events they can view. • Changes to roles or access settings require a full sign-out and sign-in to take effect. • For limited access, use the individual Events Access setting instead of granting global access.
Troubleshooting: events role options don't appear when adding an administrator
If you don’t see any Events roles (such as Events Superadmin, Advanced Events Admin, or Events Content Manager) in the Role(s) dropdown when you open an administrator record, the issue is with the permissions of the account doing the adding—not the account being added.
Events roles appear only if both of these conditions are met:
- GC Events advanced permissions are enabled for your school.
- The administrator performing the add or edit has the Events role management permission on their own account.
An administrator who can manage administrator records but lacks the Events role management permission will see only the standard Online Giving roles.
What to do
-
Verify the editor’s permissions. Ensure that the administrator making the change has both the right to manage administrator records and the Events role management permission.
-
Confirm the editor’s Events role. If the editor’s account already includes the Events Superadmin role, they should be able to see and assign Events roles. If not, have someone with the Events Superadmin role either perform the assignment or update the editor’s permissions.
-
Assign roles via navigation. Open GC Events > Administrators (or School Dashboard > Administrators), click the administrator’s name to open their settings, and use the Role(s) dropdown or search box to assign one or more roles.
-
Refresh permissions. After any role or permission change, the affected administrator must sign out and sign back in.
Quick examples and tips
- An administrator who can manage records but lacks the Events role management permission will not see Events roles, even when adding someone as, for example, Events Reporting Admin.
- Opening the Administrators page does not imply having Events management permissions. Both capabilities are necessary.
- For schools that keep admin assignments limited, consider centralizing Events role assignments under one Events Superadmin or a small dedicated team to prevent confusion.
FAQ — Limitations with event editing and registration management permissions
Short answer
There is no GC Events role that allows event editing and full registration management without event creation. Roles that grant registration management also allow event creation.
Explanation
GC Events permission sets are built around common event tasks (creation & management, content editing, check-in, finance, and reporting). Registration management is bundled with event creation, so you cannot enable full registration workflows without creation rights.
Workaround options
Option A — Use Basic Events Admin
- Capabilities: Event creation and editing, registration management (including viewing, editing, processing registrations, waitlists, and check-ins), basic reporting, and payment cancellations.
- When to choose: Assign Basic Events Admin if registration management is crucial and you can accept event creation privileges.
Option B — Stack Events Content Manager with Events Check-in Admin
- Capabilities: Editable event content (descriptions, schedules, images, etc.) and full on-site check-in operations.
- Limitations: Does not provide registration management or event creation.
- When to choose: Assign this combination if preventing event creation is a priority and you only need content editing plus on-site check-in support.
Summary
Neither option perfectly separates registration management from event creation. If registration management is the priority, use Basic Events Admin. If restricting event creation is essential, consider stacking Events Content Manager and Events Check-in Admin.
Additional details
- Stacking roles: Multiple roles can be assigned on one administrator record via the Role(s) dropdown.
- Session refresh: Administrators must sign out and sign back in for any role changes to take effect.
- Event-level access: Use the Events Access setting (All events or Individual events) to further limit which events an administrator can see.
How to assign or change roles
- Open GC Events > Administrators or School Dashboard > Administrators.
- Click the administrator's name.
- In the admin record, use the Role(s) dropdown or search to assign the desired role or combination of roles.
- Save the record and have the administrator sign out and sign back in to refresh permissions.
