Understand how to sync Events and Registrations to RE NXT
GiveCampus now offers a direct integration with Raiser's Edge NXT. To learn more about adding this to your GiveCampus instance, contact your Partner Success Manager or reach out to support@givecampus.com.
The direct integration between GiveCampus and Blackbaud RE NXT lets you export event information and registrations to RE NXT. You can also process ticket payments and event-related donations through RE NXT's batch system.
Event Export Setup
To set up the integration, connect your RE NXT environment with your GiveCampus environment and choose your initial configuration options.
We highly encourage you to turn on the Import RE NXT Constituent Data setting so that GiveCampus can match event registrations to the proper constituents and send them successfully to RE NXT.
To begin exporting events and registrations, enable the Export Event Data setting.
Whenever an event is set to “Active”, GiveCampus will create a corresponding event in RE NXT including the following information:
- Event Name
- Event Start Date/Time
- Event End Date/Time
- Description
- Lookup ID (the GiveCampus event ID prefixed with “GC_”)
- Inactive (boolean)
- Fund ID
Note: Pre-existing active events will not be automatically synced to RE NXT when the Export Event Data setting is enabled. As new registrations occur for these events, GiveCampus will export the event information during the nightly update.
As individuals register for your event, their registration information will be sent to RE NXT on a nightly basis including:
- Name & email for registrants and their guests
- Registration Date/Time
- RSVP status
- Ticket payments
- Donations
After gift batches have been reviewed and approved in RE NXT, event payments and donations will be linked to the associated registration record.
Export Options
Ticket payments and donations are exported to RE NXT in gift batches. You can either enable automatic nightly gift exports and batch creation or choose to send batches manually.
These options are the same for the RE NXT Gift Batch Integration - please refer to that article to understand your options and how to configure them.
Reviewing Gifts & Payments before Export
Paid Events
For events with paid tickets or donations, most payments and gifts are automatically ready for export. You can view the list of payments and gifts scheduled for the next day's export at any time under Online Giving > Manage Gifts > Gifts to Review > Gifts Pending Export.
Sometimes, GiveCampus cannot export event and registration data to RE NXT due to data issues—typically a missing constituent ID or Fund ID for payments and donations. You can review these cases under Online Gifts > Manage Gifts > Gifts to Review > Review Gifts.
Free Events
If an event is free and requires no payment, you can review errors from the list of registrations by going to Events > Registrations. The “RENXT Errors” filter will show you registrations that were unable to send to RE NXT due to missing data.
Click into each registration and use the “Fix RENXT Error” button to add the missing information.
For paid events, you can also use the "RENXT Errors" filter on the Registrations page. When you do, you'll see a "Review RENXT Gifts" button that directs you to the Gifts to Review page, where you can update information as outlined in the "Paid Events" section above.
Frequently Asked Questions
-
How does the integration handle complex events with several activities?
RE NXT does not support complex events with multiple activities, so individual activity registrations are not currently exported to RE NXT. Only the main event registration will be exported. -
What happens when a registrant or guest changes their RSVP status?
Their latest status will be updated in RE NXT. -
How does the integration handle the fair market value (FMV) of ticket prices?
When exporting gift information, the FMV and donation portions of each ticket are recorded separately— in gift batch review, the Gift Type of the FMV will be listed as "Other" and the donation as a "One-time gift." -
If an event is cancelled, archived, or completed, will that sync to RE NXT?
Yes, when the event status changes to Canceled, Archived, Completed, or Draft, the event will be marked as “inactive” in RE NXT. -
What if the registrant adds guests for whom we don't have a constituent ID?
While primary registrants must have a known constituent ID, this is not required for guests. Any guests without a constituent ID will appear as unknown guests linked to the primary registrant in RE NXT. -
Why is my event name truncated in RE NXT?
RE NXT has a 50-character limit for event names, so GiveCampus will truncate the event name to fit when sending to RE NXT.
