Tags are labels that help volunteers and administrators organize and filter Assignments more effectively. There are two types of Tags available in Volunteer Management:

Volunteer-Uploaded Tags — created by volunteers directly for their Assignments.

Admin-Uploaded Tags — added by administrators in bulk using a CSV upload.
Volunteer-Uploaded Tags
Volunteers can create and manage their own personalized Tags to organize their Assignments. For example, a volunteer might add a Tag called “Close Friend” to mark Assignments with people they know well.
These Tags appear as filters on both the My Assignments and Email pages and can be used alongside each other or with standard filters (e.g., Has Not Given).
How to Create, Modify, or Delete Custom Assignment Tags
1. From the My Assignments page

Click an Assignment’s name to open their Snapshot.

Scroll to the Tags section near the bottom.

Type the name of a new or existing Tag (e.g., “Close Friend”).

Click Create Tag.
2. From a Full Record

Locate the Tags section at the top of the Full Record.

Type the name of a new or existing Tag.

Click Create Tag.
3. From the Tags Page

Open the Tags page from the left navigation menu.

Click Create Tag.

Enter a name (e.g., “Close Friend”), optional description, and choose a color.

Click Create Tag.
4. Modify an Existing Tag

Navigate to the Tags page.

Click Edit next to the Tag you want to update.

Make any desired changes (name, description, color).

Click Update Tag.
5. Delete an Existing Tag

Navigate to the Tags page.

Click Delete next to the Tag you want to remove.
Note: If the Tag is in use, deleting it will remove it from all associated Assignments.
Admin-Uploaded Tags
Administrators can bulk upload Tags that apply to Assignments across the volunteer network. This feature is useful for centrally managing segments such as “High Priority Donors,” “LYBUNTs,” or “Athletics Donors.”
How to Upload Admin Tags

Go to Volunteer Management (people icon) → Data Management.
Tag visibility rules
- Admin-uploaded tags are visible to all volunteers assigned to the relevant constituents.
Admin responsibilities
- Use the Tag Upload workflow when you need the same tag applied across multiple assignments or to many constituents.
- Tags attach only at upload time. If a constituent is assigned to a volunteer after an upload, re-run the upload or include that constituent in a subsequent upload so the tag applies to the new assignment.
Quick gotchas
- If a constituent is assigned to multiple registered volunteers, admin-uploaded tags for that constituent will appear for all those volunteers.
- The Tag Upload CSV must follow the CSV format described earlier; tags apply only to constituents with current registered volunteer assignments.

Click Upload Tags.

Use the provided CSV template to format your data correctly.
You can open the Google Sheet template here and select File > Download > CSV to download it. Or make a copy, enter your information, and do the same.
CSV Format
constituent_id, tag_name, remove

constituent_id — The unique ID for the constituent.

tag_name — The name of the Tag to apply.

remove — Leave blank to add the Tag. Enter “Y”, “1”, “Yes”, or “TRUE” to remove an existing Tag.
Behavior Notes
-
Tags are only applied to constituents currently assigned to a registered volunteer.
- The system deduplicates existing Tags on assignments, do you can re-use the same file once a new volunteer has registered to add to their assingments

If new assignments are added after an upload, you must re-upload Tags for them to apply.

Tags are added to all relevant assignments for each constituent listed in the upload. You cannot add a tag to only one constituent's assignments/roles

If a constituent is assigned to multiple registered volunteers, all of those volunteers will see the Tag.
Example Use Cases

Admin-Uploaded Tags: Mark all LYBUNTs or leadership donors across the program.

Volunteer-Created Tags: Allow each volunteer to personalize their outreach lists (e.g., “Needs Follow-Up” or “Close Friend”).
Filtering by Multiple Assignments
While there isn't a built-in filter to see constituents with multiple volunteer assignments, you can use Custom Assignment Tags to track and filter these cases.
How to Tag Constituents with Multiple Assignments
1. Have volunteers manually tag constituents who they discover are assigned to other volunteers
2. Create a consistent tag name like "Multiple Volunteers" or "Shared Assignment"
3. Use this tag as a filter in the My Assignments page
