Everything you need to know about the Pending Gifts integration between GC Volunteer Management and GC Social Fundraising.
OVERVIEW
What are Pending Gifts in GC Volunteer Management?
Pending Gifts provides a seamless integration between the GC Volunteer Management (GC VM), GC Social Fundraising (GC SF), and Giving Forms (GF).
Pending Gift Records are created when any of the following gift types are made on GiveCampus on your Constituent Records:
- GC SF Online Gift
- GC SF Online Match/Challenge
- GC SF Phantom Match/Challenge
- GC SF Individual Offline Gift (if enabled under Settings)
- GC SF Bulk Offline Gift (if enabled under Settings)
- GF Online Gift
Pending Gifts are created when a gift is made by a donor whose email address matches the email address of a constituent within GC VM. This means that if the donor email from GC SF/GF matches a constituent email in your GC VM, the Pending Gift will appear in the Pending Gift Summary Table on the Assignment Snapshot and Constituent Record (based on the school-level settings and role-level settings selected.) An assignment filter can also be added to the “My Assignments” and “Email” pages for “Has Pending Gift” or “Does Not Have Pending Gift” to allow your volunteers to easily sort their list of assignments to see those who have an active pending gift.
How do pending gifts appear in GC Volunteer Management?
When a Pending Gift is made by a constituent who is assigned to a volunteer in the same school’s GC VM, it triggers a few possible actions (depending on the settings determined by the school admin):
- Email notification to volunteer
- Appear within Constituent Snapshot
- Appear within Constituent Record
- Appear within filtered list when the “Has Pending Gift” or 'Does Not Have Pending Gift' filter is applied
The Pending Gift will disappear when one of two things happens:
- The time since the Pending Gift was created exceeds the limit that the school has set for Pending Gifts to appear within their GC VM
- A gift with the same amount and payment date is uploaded by the school
To help your volunteers best understand who has made a Pending Gift and to easily do outreach to this group, we recommend enabling the “Has Pending Gift” and “Does Not Have Pending Gift” filters. These can be toggled on under the “What Can This Role Do” section of each role settings page.
If Pending Gift notifications are enabled under both the school and role-level settings, volunteers will be notified whenever one of their assignments makes a Pending Gift. Later on, when the Pending Gift has been uploaded by the school, volunteers will be notified that the new gift may have been a Pending Gift.
ENABLE PENDING GIFTS & CUSTOMIZE YOUR SETTINGS
Enabling Pending Gifts for GC VM
If you have GC VM and an active subscription with GC SF/GF, you can take the following steps to enable Pending Gifts:
- Enable the feature for your VMS under Settings > General > Enable Pending Gift Notification. From here, you’ll be able to customize the following:
- Determine if Offline Gifts should trigger Pending Gifts
- Set a timeframe over which Pending Gifts will be aggregated for notifications to volunteers
- Set a timeframe after which Pending Gifts will be cleared from GC VM if no corresponding gift information is uploaded
- To make Pending Gifts visible on Constituent Records, go to Settings > Constituent Record > Select the appropriate Pending Gift table data points that you’d like to display. These settings will determine your view as an Administrator as well as set the default for any new roles that are created.
- Pending Gift notifications can be enabled and customized on a role-by-role basis. To customize Pending Gift settings for particular roles:
- Under Role Settings, check “View Pending Gifts” to determine whether or not a volunteer will see the “Pending Gift Summary” table on the Assignment Snapshot and Constituent Record
- Under Role Settings > Available Filters, check 'Has Pending Gift' and 'Does Not Have Pending Gift' to allow volunteers to filter their assignment lists and email lists by Pending Gift status.
- Under Role Settings, check “Send Pending Gift Notifications” to determine whether or not a volunteer will get email notifications about Pending Gifts made by their assignments.
- Under Role Settings, go to “Modify Data Points”, then select the appropriate data points that should be visible to the role in the Pending Gift Summary table.
- Under Role Settings, check “View Pending Gifts” to determine whether or not a volunteer will see the “Pending Gift Summary” table on the Assignment Snapshot and Constituent Record
Customizing Pending Gift Labels
Once you’ve enabled Pending Gifts for GC VM, you have the option to customize what they’re called within your system. To do this, head to your Settings tab > Labels > Pending Gift Labels. Here, you’ll see the following customization options:
- Pending Gift Label - this will allow you to substitute the term “Pending Gift” for any school-specific terminology you prefer
- Giving Form Rollup - if your school has an active Giving Forms subscription, you can customize the label that will appear under the “Campaign” data point when a Pending Gift is made on a Giving Form.
