With GC VM, this functionality provides the ability at the volunteer role level to set up mass assignment conditions to automatically assign specific sets of constituents to volunteers in that role.
Mass Assignments in Volunteer Management
This feature allows admins to set up rules and conditions that will automatically mass assign volunteers within a role to specific constituents. This can be utilized to set up specific roles that will adjust automatically as members move in and out of classes, cohorts, or other groupings.
To get started using Mass Assignments, reach out to Support@givecampus.com to request that this feature be enabled.
Who can use this?
For partners that have Shared Assignments feature flip enabled, this feature can be utilized for as many roles as they would like (or all roles!).
For schools that do not have Shared Assignments feature flip enabled, only one role can utilize the mass assignment rules and set up. If you already have one role that has mass assignment rules and conditions set up, you will not see the option for additional roles added or created.
How it works
When adding a new role, admins have the choice to automatically assign constituents to volunteers in the role. See the "Who this role should be automatically assigned" section.
If you do not want to leverage mass assignments for the role, admins can skip this entire section.
There are two main settings to determine the automatic assignment behavior for that role:
Automatically assign constituents at role assignment AND additional imports: This option will automatically update assignments after every data import to GC VM. This keep assignments up to date with the newest information known to the system.
If you uncheck this box, we'll automatically assign constituents ONLY at the point of assigning the role to volunteers, and will not continue to make changes following additional imports.
Override existing assignments: This option is ONLY visible for schools that do NOT have Shared Assignments enabled. If checked, the automatic assignment will override any existing assignments to that constituent. This will unassign any existing volunteer from a constituent who falls into named conditions and re-assign them to the new volunteer in this role.
For any roles with conditions built to automatically assign, constituents matching those criteria will be automatically assigned as soon as the volunteers are assigned to that role. This applies to manually assigning a volunteer a role as well as bulk uploading volunteers into roles.
Constituents that were assigned to a volunteer but no longer meet the conditions set in automatic assignment will be unassigned from that volunteer.
FAQ
→ Will this work with the upload functionality to mass assign volunteers to constituents?
Yes, you can still upload through the manual csv assignment process. However, any automatic assignment rules added to a role will be executed when saved or when a volunteer given that role. So be careful that you don't just override all of your manual assignments with the settings above!
→ How can I enable/disable Shared Assignments?

→ How do Mass Assignments and Shared Assignments relate, and can I request both at once?
Both features must be enabled by GiveCampus at the platform level. They are often requested together because the behavior of Mass Assignments changes depending on whether Shared Assignments is enabled.
Who enables them: Both features are enabled by GiveCampus. To request them, email support@givecampus.com and indicate you want Mass Assignments and/or Shared Assignments activated on your VMS account.
Why request both: If you plan to use Mass Assignments on multiple volunteer roles, you need Shared Assignments. Without Shared Assignments, Mass Assignments is limited to a single role only.
If Shared Assignments is not enabled: Mass Assignments can be configured for only one role. Additional roles will not show the option if one already has mass assignment conditions.
If Shared Assignments is enabled: You can set up Mass Assignments for as many roles as required.
After enablement: The Mass Assignments options will appear in the role editor under the Who this role should be automatically assigned section when you add or edit a role. From there, you can build rules and choose the automatic assignment behavior for each role.
Tip: Ensure you request Shared Assignments if you need Mass Assignments for more than one role. Remember that the Override existing assignments option is available only when Shared Assignments is not enabled.
→ What will happen when a constituent no longer applies to an auto-assignment rule/condition?
They will be unassigned from that volunteer in that role.
→ Will volunteers be notified when they are assigned or unassigned from a constituent via the Mass Assignment feature?
No. We do not notify volunteers via email when changes are made using the Mass Assignment feature.
→ Are there any constituents who are ignored in mass assignment rules?
Yes. Unselectable constituents and those already assigned to a volunteer in the same role are ignored. In addition, constituents already mass assigned and spouses may be handled differently, as explained below.
