Adding Offline Gifts to a Campaign

The Offline Gifts feature of Social Fundraising campaigns allows you to add offline gift data to your campaigns so that gifts received outside of the GiveCampus are reflected in your campaign totals, leaderboards, donor maps, and clickable affiliation breakdowns.

This article explains how to do the following:

• Add Individual Offline Donors
• Add Offline Donors in Bulk
• Review, Edit, Delete & Download Offline Donors
• Hide matching donors from fund area donors (limitations)

Adding Individual Offline Donors

To add individual offline donors:

Navigate to your campaign's admin settings and click on Manage Gifts> Offline Gifts> Add Individual Offline Donor The form includes fields for:

• Name (required)
• Email (used for deduplication)
• Amount (required)
• Affiliations (if enabled for the campaign, you can add multiple affiliations with different values)

Use the "Add Individual Offline Donor" section. Fill in donor information including name, email, gift amount, and any relevant affiliationsSave the entry

Adding Offline Donors in Bulk

For larger volumes of offline donors:

• Go to Campaign Settings > Manage Donations > Offline Gifts 
• Use the "Upload Offline Donor Data in Bulk" section
• Download the template file
• Fill in your donor data following the template formatUpload the completed file

Notes: 

• All columns must be present in the file you upload but you do not need to include data for all columns. 
• Make sure your uploaded file does not contain any extra blank columns or rows. 
• Designations can only be added to bulk offline uploads if you are using unique backend identifiers for each designation. The list of available options to use in this section will be shown in the helper text below the template download. If you include a designation not in this list it will be omitted from the donation when it's created. 
• You cannot include multiple designations per offline gift, if you need to split add a new row for each gift and designation pairing. If you use the same name and email it will still only count as one donor to the campaign. 
• Affiliations are added using their reporting column name. The options available for the current campaign will be shown below the template download. You'll enter the name of the affiliation in the 'affiliation' column and the sub selection (such as year for an alumni) in the affiliation value column. If the affiliation doesn't use a sub selection you can leave the value column blank. 

FAQ

• Q: What if I see duplicate names for a donor on the campaign page? A: Make sure you use the exact  same exact name and email on all gifts added for the donor- this will remove any duplicates
• Q: How do I add an anonymous offline donor? A: We don't have an option to hide an offline donor's name from the campaign, so we recommend entering their name as 'Anonymous' on the gift. Just make sure you use a unique email so it isn't deduplicated from other donors entered as Anonymous. 
• Q: How is the email for an offline gift used? A: Only for deduplication, we do not ever email the address associated to an offline donor unless that email was also used for an online gift. 

How Offline Gifts Trigger Matches and Challenges

When you add offline gifts to a campaign, they automatically trigger any matches or challenges they qualify for. You don't need to manually update the match or challenge amounts separately.

Important: Don't double-count match amounts

If you manually update a match or challenge amount AND add offline gifts that trigger it, you'll double-count the match dollars. Always:

• Add offline gifts first
• Let the system automatically trigger matches
• Only manually adjust matches if the offline gifts don't qualify for automatic triggering

FAQ: Offline Gifts and Matches

Q: I added offline gifts but they didn't trigger my alumni match. Why?

A: Check that your offline gifts include the correct affiliation or designation data that matches your challenge criteria.

Q: Can I manually adjust a match after adding offline gifts?

A: You can, but be careful not to double-count. If offline gifts already triggered the match, manual adjustments will be additional to those amounts.

Q: How do I know if my offline gifts triggered a match?

A: Run an advocate report to see what donations have counted into a match or challenge.
