GiveCampus released the ability to calculate donor status for your constituents based on criteria you set! Learn how to share giving information and unlock insights into your LYBUNTS, SYBUNTS, Current-Year Donors, Lapsed Donors, and Future Donors.
Schools are now able to configure a Donor Status for each constituent directly within the GiveCampus platform. This means that for your entire GiveCampus account, each campaign / form, and in your reports you'll get to see whether each donor was a LYBUNT you retained, a long lapsed donor you just brought back in the fold, or a donor you just acquired for the very first time. GiveCampus uses shared detailed giving information from your school to your own definition of each donor status.
Here are steps to unlock those donor status calculations across the GiveCampus Platform:
Step 1: Sharing Data
For GiveCampus to uncover and display donor status' means that we need a little bit more data on your donors! Before we can set up donor status,' you'll need to send along that data to power donor status' and other work flows. There are two ways to do that!
- Volunteer Management System Data: If you're using the VMS and sending transaction-level gift information, we can leverage that data to inform donor status calculations! Note: this means that we're calculating donor status' based on the constituents you load into the VMS. If, for example, you're only including alumni in your VMS, then parents would not be included in your donor status calculations.
- Data Importer: GiveCampus has built an amazing, easy to use tool that'll allow you to quickly send more donor data into GiveCampus to power these donor status calculations (and lots more!)
- Data Hierarchy: If you are using both the Volunteer Management System (VMS) and the School-level Data Importer (SLDI), donor status will be computed based on the transaction-level gift information provided via the SLDI only. In this scenario, transaction-level gift information should always be imported in both the VMS and SLDI to ensure donor status remains up to date.
Step 2: Configuring Donor Status Calculations
-
Head to your School Dashboard: To get started, donor status settings are available on the school-level Dashboard. Your School Dashboard is the central hub for managing donor status configurations and other school-level settings.
Note: If you don't see that 'School Dashboard' tab, you might not have the right admin permissions! Reach out to support@givecampus.com or another administrator at your school to see how you can get access to the School Dashboard. -
Settings: The first step in creating donor status configurations is to set a few school-level settings. Via the 'Settings' tab, you can establish two school attributes necessary to enable donor status configurations:
- Fiscal Year Start Date: This ensures donor status configurations’ selected years align with your fiscal year range.
- Donor Status Calculation: This filters what gifts your school’s donor status configuration should surface.
-
Donor Status Configuration: Once you've configured your fiscal year and relevant gift types, you can start defining your various donor statuses. Head to the "Donor Status" page (Settings > Donor Status). Here any existing configurations are surfaced on the Settings tab with their label, description, and applicable donors count, as well as options to edit or remove them.
You can add new configurations by clicking the ‘Add Donor Status’ button which will redirect you to the donor status configuration form.
To create each new donor status configuration, you need to provide three fields:- Label: The name of the donor status configuration
- Donor vs. Non Donor: Whether or not the donor status is for donors or non-donors. If you would like to create a status for donors who have never made a gift, change the dropdown from "have" to "have not".
-
Selected Years: In what year(s) did a donor of this status make their last gift
-
If a configuration is tracking donors (decided by the ‘have’/’have never’ form option), then the selected year's options will be displayed.
-
If a configuration is not tracking donors, then the selected year's options will not display
Once your configuration is finalized, select ‘Save’ to create your new donor status configuration! You should be redirected back to the main donor status configurations page where their new configuration will be available to view, edit, or remove from the page.
-
If a configuration is tracking donors (decided by the ‘have’/’have never’ form option), then the selected year's options will be displayed.
-
Recommended Donor Status': Make sure there is a donor status for everyone so that all of your donors are covered.
- Current Year Donor: Constituents who have donated > Current Year
- LYBUNT: Constituents who have donated > Last Year
- SYBUNT: Constituents who have donated > 2-6 years ago, or based on how your school defines LYBUNTS
- Long Lapsed: Constituents who have donated > 7-10 years ago, and 10+ years ago, or based on how your school defines long lapsed donors
- Non-Donor: Constituents who have not donated.
Step 3: Leverage Donor Status Insights
Now that you're donor status' are configured, you'll be able to lean on these insights throughout the GiveCampus platform:
-
Statistics Tab: Review the 'Statistics' tab on current and past campaigns to see the donor status breakdown of your campaign donors. This will show you what their status was before they made a gift on that campaign / form.
- Talk with your partner success manager to talk strategy around improving giving for different groups!
- First-Time Donor Matches/Challenges: Now that your donor status' are configured, you can add offline matches/challenges for first-time donors! Instead of restricting those matches and challenges by affiliation or class year, you can now restrict them based on that donor status!
-
Reporting: Include the 'previous_donor_status' field in your custom report to understand more about your donors' status before they participated in your most recent campaign.
Pro-Tip: Include unique tracking link data in your report. This will allow you to do an analysis of which communication channels and outreach methods were most effective at bringing in different types of donors. Ex: Maybe texting is great for LYBUNT retention, but bad for first-time donors. Etc.
