With a new fiscal year on the horizon, your reporting will soon reset for the new year, so we wanted to share a few helpful reminders of what will adjust and how you can ensure you have the data you need to share your successes from the past year with your team.
What will reset in the new fiscal year?
Dollar & Donor Reporting
The dollar and donor reporting that shows up for administrators and volunteers is defined within the Settings > Gift Configurations section of GiveCampus Volunteer Management. If you have a condition that uses “gift date in the fiscal year,” the numbers will reset once the fiscal year date is changed by GiveCampus (nothing else needs to be done on your end!).
“Has Given” and “Has Pledged” flags
Similar to dollar and donor reporting, these flags are determined by your Gift Configurations. Once the fiscal year date is changed by GiveCampus, those flags will be removed for anyone that has not yet given in the new year.
Outreach Tracking
For administrators, the volunteer reporting that you can find in the “Reporting” tab, drilling down by role or year, will have all information about contacts made reset. As a reminder, the two numbers represented in this report view are "within the last 30 days" and "within the past fiscal year."
For volunteers, the filter of “No Contact this FY” will reset so that every assigned constituent falls into that category.
Class Stats
Similar to dollar and donor reporting, and has given and has pledged flags, these numbers are determined by the Gift Configurations - specifically Volunteer Dashboard > Class Year Reporting. They will reset when the date is changed.
“Days left in the fiscal year” countdown
We set this with whatever start date you choose, so just let us know if you’d like that date to be!
When will the fiscal year reset?
Given that our partner schools have different fiscal year start dates, the switch is manual. GiveCampus staff will reach out before we make any changes to confirm you’re all set to move into the new year, but if you’re ready before you receive an email from us, just reach out to support@givecampus.com and we can switch you over!
Can I get reports that cover the full fiscal year?
Yes! We can provide the following files through SFTP:
- All Active Volunteers
- **Reminder: “Active” is defined as a volunteer who signed into your VMS and took an action like sending an email, adding a note. etc.
- All Volunteers (including deactivated)
- All Active Assignments
- All Assignments (including unpaired)
- All Volunteer Notes
- All Volunteer Actions
If you are interested in any of these reports, just send an email to support@givecampus.com along with the report you’d like, and the timeframe that you’d like it to cover (i.e., July 1, 2023 - June 30, 2024 or all time).
