Upload Tips for Main Videos, Updates, and Personal Videos
Connect to WiFi
Uploading videos from your data plan can cause issues with uploads completing. When you or your advocates are uploading videos, be sure you're connected to WiFi!Don't Leave Too Soon When Uploading Personal Videos

Video Processing Status
Understanding "Your video is being processed"
After uploading a video to GC Video, you may see a "Your video is being processed" message. This is normal and indicates the system is preparing your video for viewing.
Processing behavior:
- The message appears immediately after video upload
- Videos may not render in preview initially
- Click "Insert Video" to render the video in preview
- Processing continues in the background while you work
What to do when you see this message:
- Continue with your content creation - don't wait
- Click "Insert Video" if adding to updates or content sections
- The video will render properly even during processing
- Save and publish your content normally
Processing timeline:
- Small videos (under 100MB): Usually ready within 2-5 minutes
- Larger videos: May take 10-15 minutes to fully process
- Videos remain functional during processing
Adding captions (closed captions / subtitles) to campaign videos
Caption files can be added to campaign videos for accessibility.
Accepted caption file formats
- Caption files should be provided in standard formats (.srt, .vtt, etc.).
How to submit caption files
- Adding caption files requires contacting GiveCampus support.
- Email support@givecampus.com with your caption file attached. In your message, include the campaign name and the video title (or a link to the campaign page) so we can apply the file to the correct video.
Notes and troubleshooting
- There is no caption upload field in the campaign video editor; if you don't see an option to attach captions when editing your campaign video, use the support workflow above.
- If you have caption files for multiple languages, send each language as a separate file and indicate the language in your email so we can apply them correctly.
Video Updates
Adding videos to updates takes a few steps, and this walkthrough explains the process (TL;DR: that error message is expected!)What to expect during video processing
When you add a video to an update, it may take time to process before it displays properly. This is normal.
Recommended workflow and troubleshooting
- Click the + Add Video button to upload your video, then wait for processing to finish before clicking Insert Video.
- Processing times vary—small files finish in a few minutes, while larger files may take 10–15 minutes or more.
- If you click Insert Video before processing is complete, the video will still display once processing finishes.
- Refresh the page after a few minutes if the video does not appear in the update preview.
- If the video remains invisible after refreshing, try uploading a smaller or compressed version and repeat the steps.
Quick checklist
- Wait for processing to finish before clicking Insert Video.
- Larger files require extra time—plan accordingly.
- Clicking Insert Video early does not prevent the video from rendering after processing.
- If issues persist, try a smaller or compressed file.
Adding Videos to Campaign Updates
For New Updates
When creating a new update:
- Click "Add New Update"
- Click "+ Add Video" button
- Upload your video file
- Wait for processing (may take 5-10 minutes) then refresh the page
- Click "Insert Video" button once processing completes
- Add your update content and submit
If Video Doesn't Appear
If your video uploaded but isn't visible in the update:
- Wait 5-10 minutes for video processing to complete
- Refresh the page to check if the video appears
- Verify you clicked "Insert Video" after upload
- Check that you saved the update after making changes
Video Processing During Updates
Videos may not render immediately in the update preview. This is normal behavior - click "Insert Video" to add the video to your content even during processing. The video will display properly once processing finishes.
Campaign vs. Pre‑Launch Videos: processing and troubleshooting
If your video uploads quickly on the pre‑launch page but is slow or missing on the live campaign page, check the following:
How uploads work
- Each video location requires its own upload. A successful pre‑launch upload does not apply to the live campaign page.
Quick fixes when a campaign video doesn’t appear
- Confirm the upload completed by navigating to Campaign Setup > Images & Display and checking for the video.
- If the video is missing in the backend, try uploading it again.
- Wait a few minutes and refresh the page—processing may still be underway.
When uploads fail
- Re‑upload the video to the campaign page, even if it appears on the pre‑launch page.
- Stay connected to Wi‑Fi and keep the browser open until the upload finishes.

- Photos: Use .jpg, .jpeg, .png formats
- Avoid: .jfif files may cause upload issues
- If you're having trouble uploading photos, try converting them to .jpg format first
Common Troubleshooting

If photos aren't showing up in your updates or custom content:- Check the file format - convert to .jpg if using .jfif
- Ensure you clicked 'Update Campaign' or 'Submit Update' to save changes
